Position: Administrative Assistant to the Department of Biomedical Sciences

LOCATION

This position is fully on‑site and requires a regular presence in Fort Smith, Arkansas. Remote or hybrid work is not available for this position.

JOB SUMMARY

The Administrative Assistant to the Department of Biomedical Sciences will advance the mission in part by providing a wide variety of support across the Department of Preclinical Medicine with primary support to the Associate Dean and chairs of the Department of Biomedical Sciences.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
  • Provide daily administrative support to the Associate Dean of Biomedical Sciences.
  • Work closely with course directors to facilitate day‑to‑day operations, scheduling guest lecturers, and notifying faculty of key deadlines and due dates.
  • Assist Department Chairs with expense reports, travel, and procurement.
  • Oversee the department’s incoming phone calls, respond to emails, open and distribute mail as requested, and greet visitors and guest faculty.
  • Function as a resource for and assist departmental faculty with administrative tasks as needed.
  • Prepare clear, concise, and well‑organized minutes for departmental and committee meetings.
  • Demonstrate the highest standard of professionalism and ethical behavior in all aspects of personal and professional actions and performance.
  • Demonstrate adaptability and the willingness to assist the college in fulfilling its mission and vision through administrative duties and community service and/or perform special duties as assigned.
  • Advance the prestige of ARCOM through advancement of and avocation for its mission and vision.
  • Other duties assigned by the Associate Dean of Biomedical Sciences or their designee.
REQUIREMENTS QUALIFICATIONS AND CREDENTIALS

Education And Experience

  • Minimum:
    High school diploma.
  • Preferred:
    Bachelor’s degree.

Experience

  • Minimum:
    Two years (2) experience as Administrative Assistant or a related support role.
  • Preferred:
    Three years (3) experience as Administrative Assistant and experience at an accredited university, health professions college, or medical school.

Required Knowledge, Skills, And Abilities

  • Proficiency in computer skills, i.e., Microsoft Office.
  • Professionalism in all communication and interactions.
  • Maintain confidentiality and privacy.
  • Prioritize and organize numerous and varied assignments.

  • Use various equipment such as pens, pencils, calculators, computer keyboards, telephone, etc.
  • Transport between campus offices, conference rooms, and on occasion, off‑campus sites.
  • May require significant travel or work away from campus and attendance at events representing ACHE.
  • Frequently required to work at a desk, conference table, or in meetings of various configurations.
  • Frequently required to see for reading material and hear speech at normal levels.
  • Occasionally required to lift items; ability to lift up to 25 pounds safely.
  • Frequently operate office and presentation equipment.
