Job Summary
Provide executive‑level administrative support for the Office of the Dean of the College of Business and Industry. Coordinate and screen the dean’s schedule, anticipate and resolve issues, track budgets, assist with faculty schedules and workloads, coordinate special events, and oversee other metrics to ensure the success of the college.
Essential Responsibilities- Oversee daily office activities and provide administrative support for the dean, including screening telephone communications, greeting and directing visitors, and assisting with administrative problems and inquiries.
- Serve as a primary point of contact and liaison between the office and internal stakeholders (Provost, departmental leadership, faculty, students) as well as external constituencies.
- Schedule and coordinate the dean’s appointments and travel arrangements.
- Work collaboratively with department heads and faculty to coordinate purchasing.
- Organize meetings and special events, schedule rooms, coordinate participants, agendas, and facilities; record minutes and follow up on matters arising from meetings.
- Compose and prepare written documentation and correspondence for the office; screen and evaluate incoming and outgoing correspondence and prepare responses as appropriate.
- Provide general oversight of student assistants and work collaboratively with other administrative assistants in the College and across campus.
- Assist with administrative activities associated with academic affairs, such as contracts, teaching schedules, workload, and promotion.
- Enhance professional growth and development through participation in educational programs, current literature, college and university meetings, and workshops.
- Establish and maintain files and retrieve information as needed for reference or reports.
- Prepare PowerPoint presentations.
- Perform duplication and copying as needed.
- Coordinate security and maintenance requests to building.
- Other duties as assigned.
- Maintain a positive work atmosphere by acting and communicating in a manner to foster teamwork and providing leadership to subordinates; requires consistent on‑time attendance.
- Knowledge of general office management principles and procedures, including operation of standard office equipment.
- Excellent technical skills, including working knowledge of Workday, Microsoft Office Suite, and willingness to learn new programs.
- Excellent customer service, interpersonal, and communication skills.
- Ability to coordinate and organize meetings and/or special events.
- High attention to detail.
- Ability to extract and organize information.
- Ability to multitask and prioritize.
- Ability to work collaboratively with others.
Education: Associate’s degree and four years’ experience in an administrative/secretarial position or related field, OR bachelor’s degree and two years’ experience in an administrative/secretarial position or related field. Other related experience may be substituted for part of these requirements.
Preferred: Previous experience in an executive assistant role or in an administrative/secretarial position in higher education.
SalarySalary: $36,000
