Job Duties
The Access Coordinator II supports the clinic's patient resource needs and ensures comprehensive data collection. Responsibilities include conducting patient interviews, scheduling follow‑up appointments, maintaining cash drawer operations, answering appointment calls and voicemails, and completing work queues in a timely manner. The role also includes completing recall appointments for visits and assisting with clinic closing duties.
Key Responsibilities- Identify and collect copays, coinsurance, and past‑due patient balances.
- Post payments, print receipts and balance cash drawer.
- Prepare necessary documentation for daily deposits.
- Work registration, front desk, and assist billing to identify potential insurance billing and payment issues.
- Provide courteous and prompt attention to patients while in registration and front desk area.
- Recalls for well‑child appointments are completed quarterly. Front desk clinic closing required twice a week (Thursday & Friday).
- Monitor changes in billing procedures within assigned areas and communicate changes to employees in the work unit.
- Review patient accounts for demographic, insurance and/or payment errors.
- Track appointment cancellations, no‑shows, etc.
- Ensure faxing, scanning, and importing are completed within a timely manner.
- Review and match patient billing information with billing verifications, diagnoses, and other supporting documentation.
- Schedule patient appointments, verify insurance eligibility, and counsel patients regarding office policies.
- Review Patient Portal requests for demographic or other changes. Approve changes as appropriate and according to policy.
- Review Patient Portal requests for appointment requests. Schedule as appropriate, and follow up with the patient per their requested communication type.
- Sort and distribute incoming mail.
- Function in a positive manner in a high‑volume environment with a professional attitude to ensure the highest level of customer service.
- Maintain consistent attendance required.
- Serve as Call Center Representative and cross‑train in various other areas as needed.
- Generate reports for accounting.
- Perform other duties as assigned.
- High School Diploma/GED.
- Two (2) years of experience in customer service, registration, or scheduling in a healthcare environment.
- Ability to follow oral instructions, read, and write.
- Computer/basic keyboard skills, telephone etiquette skills, and general knowledge of office machines, including printers and scanners.
- Excellent customer service skills.
- Knowledge of basic medical terminology. Knowledge of healthcare insurance eligibility.
- Bilingual – Spanish & English
