The Business Manager helps to ensure the efficient and effective functioning of the President's Office by providing administrative and operational support. Reporting to the Chief of Staff, the position coordinates office operations, purchasing, payment processing, budget-related activities, and the business affairs of the Office of Events.
Key Responsibilities Business Operations and Office Management- Manage the day-to-day business and administrative operations of the Office of the President.
- Oversee office workflows, processes, and administrative systems to ensure efficiency, accountability, and timely completion of priorities.
- Develop, maintain, and improve operational procedures and business practices that support the effectiveness of the President's Office.
- Maintain organized records, correspondence, files, and other official documents in accordance with university policies and recordkeeping requirements.
- Coordinate administrative support activities within the Office of the President and provide guidance and support to administrative staff and student assistants, as applicable.
- Assist the Chief of Staff with the development, monitoring, and administration of budgets for the Office of the President and related units, as assigned.
- Process and track invoices, purchase requests, payments, reimbursements, procurement activities, and other financial transactions.
- Maintain financial records and monitor expenditures to ensure compliance with university, state, and system policies.
- Coordinate with Business and Finance, Procurement, Accounts Payable, and other departments to facilitate efficient business operations.
- Prepare budget reports, financial summaries, and other administrative analyses as requested by the President or Chief of Staff.
- Provide business management support for the Office of Events.
- Oversee the operations of the Office of Events, ensuring appropriate planning, coordination, and execution of presidential and university-wide events.
- Monitor event-related budgets, contracts, invoices, payments, and expenditures to ensure fiscal responsibility and compliance.
- Support operational planning and resource management for major university-wide events and initiatives.
- Support the President and Chief of Staff by coordinating administrative activities, meetings, correspondence, and office logistics.
- Serve as a primary administrative point of contact for the Office of the President, ensuring timely communication, follow-up, and issue resolution.
- Coordinate meeting logistics, briefing materials, travel arrangements, and other administrative support functions as assigned.
- Track action items, deadlines, and follow-up activities arising from presidential meetings and initiatives.
- Handle confidential, sensitive, and high-impact information with discretion, professionalism, and sound judgment.
- Maintain confidentiality regarding personnel matters, executive discussions, institutional initiatives, and university business.
- Prepare and manage confidential reports, records, and correspondence in accordance with university policies and applicable regulations.
- Assist the Chief of Staff and President with special projects, strategic initiatives, and operational assignments.
- Conduct research, compile information, prepare reports, and provide administrative support for institutional priorities.
- Monitor project timelines, deliverables, and outcomes to support the successful implementation of presidential initiatives.
- Recommend and implement process improvements that enhance operational effectiveness and customer service within the Office of the President.
