Position Overview
The Administrative Assistant reports to the Executive Director and provides administrative support to the Executive Director and office as a whole to ensure the efficient day-to-day operations of Hope Alive. This role serves as the first point of contact for clients and community members, supports office operations, and maintains professionalism, confidentiality, and a welcoming environment consistent with Hope Alive’s mission.
Responsibilities- Welcome clients, volunteers, vendors, and visitors with courtesy and Christ-like love
- Serve as receptionist and appointment scheduler for Hope Alive
- Answer phones, respond to messages and inquiries, and route communication appropriately
- Provide general office support including copying, filing, document preparation, mailing preparation, and supply ordering/tracking
- Maintain organized digital filing and communication systems (contact management, document management, archiving)
- Work closely and collaboratively with Hope Alive staff and advocates
- Support the fundraising efforts of the ministry
- Assist with special projects and other duties as assigned in support of Hope Alive’s mission
- Other duties as assigned
- High School Diploma or equivalent required
- Associate’s degree or administrative experience preferred
- Experience in a nonprofit, ministry, counseling office, or customer service environment is a plus
- Commitment to Hope Alive’s Christian mission and values
- Strong customer service skills and a compassionate, professional communication style
- Excellent organizational skills and attention to detail
- Strong written and verbal communication skills
- Highly trustworthy with the ability to maintain strict confidentiality
- Comfortable with computers and office technology (Microsoft Office, email, scheduling systems, databases)
- Ability to learn new tasks, manage multiple priorities, and remain calm in a busy environment
- Self-motivated and proactive, with the ability to take initiative while working within a collaborative, mission-driven team
- Ability to sit/stand for periods of time and work at a computer workstation
- Ability to lift/carry up to 30 pounds
- Ability to maintain focus, accuracy, and professionalism while working with sensitive information
- Occasional high-stress situations when working with clients
- Valid driver’s license and reliable transportation
- Work performed primarily on a tobacco-free campus
