Position Summary
Under the direction of the Program Manager VI – Administrative Services, the Administrative Assistant – Accounts Payable performs a variety of accounting and administrative duties to support daily operations.
The incumbent is expected to exercise sound judgment, independence, initiative, and professional expertise in conducting day-to-day responsibilities. All duties must be performed in accordance with City safety rules, department policies and procedures, and applicable federal, state, and local regulations.
Essential Responsibilities Accounts Payable & Financial ProcessingProcess requisitions and purchase orders for Operations & Maintenance (O&M) and Capital projects
Attach required vendor documentation within Munis
Review invoices for accuracy and prepare payment vouchers in Munis
Maintain inventory accounting records within the Computerized Maintenance Management System (CMMS)
Assist with pricing adjustments and project close-out within CMMS
Answer and route phone calls and written correspondence
Respond to door/gate calls and direct visitors as necessary
Collect, verify, and enter service and parts requisitions into CMMS
Maintain organized filing systems and office procedures
Provide general administrative support including meeting scheduling and coordination
Assist staff with routine questions and minor issues
Communicate effectively both verbally and in writing
Education & Experience
High School Diploma or GED required
Minimum 1 year of related work experience
Experience with Accounts Payable software required
Experience with Munis preferred
Technical Skills
Proficient in Microsoft Office Suite
Ability to learn and navigate CMMS software
Strong data entry and record-keeping skills
Other Requirements
Valid Indiana Driver’s License (if operating a City vehicle)
Strong organizational skills and attention to detail
Ability to work independently
Proficient in English
Primarily office-based work requiring sitting, standing, walking, and occasional bending or reaching. Moderate noise environment.
Dress CodeBusiness casual attire required. Closed-toe shoes mandatory.
