You are often the first person people speak to during a stressful, confusing, or emotional moment. Your presence, tone, and professionalism set the stage for the entire customer experience.
Position SummaryThe Impound Clerk is responsible for managing all administrative and customer‑service functions related to impounded vehicles. This includes processing vehicle releases, maintaining accurate records, collecting payments, coordinating with law enforcement, and ensuring compliance with company, state, and municipal regulations. The Impound Clerk serves as the primary point of contact for customers retrieving vehicles and plays a key role in maintaining an organized, secure impound operation.
Key Responsibilities- Greet customers and assist with vehicle release procedures in a professional manner.
- Verify ownership documents, identification, and required paperwork for vehicle release.
- Collect payments, issue receipts, and maintain accurate financial records.
- Enter and update vehicle information in impound and dispatch software systems.
- Communicate with law enforcement, insurance companies, and lienholders as needed.
- Maintain organized files, logs, and documentation for all impounded vehicles.
- Provide customers with clear explanations of fees, processes, and required documentation.
- Escort customers to their vehicles when necessary while following safety protocols.
- Coordinate with yard staff to locate, move, or prepare vehicles for release.
- Assist with inventory audits, vehicle condition documentation, and impound compliance tasks.
- Answer phones, respond to inquiries, and provide general customer support.
- Follow all company policies, privacy requirements, and legal regulations.
- Prior experience in towing, impound operations, customer service, or administrative work preferred.
- Strong communication and conflict‑resolution skills.
- Ability to handle difficult or emotional customer interactions professionally.
- Proficiency with computers, office software, and impound/dispatch systems.
- Ability to understand and apply state and local impound regulations.
- Reliable attendance and strong attention to detail.
- Ability to pass background and drug screening.
- Sit or stand for extended periods (up to 8–10 hours depending on shift).
- Walk throughout the office and impound yard as needed.
- Lift and carry office supplies, paperwork, or small equipment up to 20–30 lbs
