Position
Sharetec is looking for a Receptionist to join our team. This non‑exempt hybrid position (following training) is based in Fort Wayne, Indiana and will be served by one full‑time employee (40 hrs / week) or two part‑time employees (20 hrs / week each). The salary is $16.00‑$16.50 hour + bonus.
As the first point of contact for all visitors, callers, and incoming communications, the Receptionist will deliver exceptional customer service, manage inbound communications, and ensure all interactions are accurately documented in Salesforce while providing administrative support to maintain smooth daily office operations.
Responsibilities Customer Engagement & Front Desk Operations- Serve as the primary point of contact for incoming phone calls and front desk inquiries.
- Provide accurate information, route calls appropriately, and ensure timely follow‑up where needed.
- Represent the organization with professionalism, courtesy, and a strong customer service mindset in every interaction.
- Document all customer interactions (calls, emails, and in‑person inquiries) accurately within Salesforce.
- Ensure all concerns are logged and routed to the appropriate departmental queues per established procedures.
- Maintain high data integrity and consistency in all case documentation.
- Manage incoming/outgoing correspondence (mail, email, fax).
- Perform general administrative tasks: data entry, filing, photocopying, office supply maintenance.
- Support internal teams with scheduling, coordination, and ad‑hoc administrative needs.
- Serve as a resource for visitors and callers regarding general organizational information, services, and location details.
- Assist with special requests such as transportation coordination, reservations, and general visitor or staff support.
- Proven experience as a Receptionist, Front Office Representative, or similar role using a multi‑line phone system.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and a CRM;
Salesforce experience preferred. - Hands‑on experience with standard office equipment (fax, printers, scanners).
- Strong interpersonal, written, and verbal communication skills.
- Excellent organizational skills with ability to multitask and follow documented processes.
- Resourceful, proactive approach to problem‑solving and a genuine commitment to high‑quality customer experiences.
- High school diploma or equivalent.
