Position Summary Pro Resources is seeking a reliable, organized, and customer-focused Office Assistant for a local plastic company in Fort Wayne, IN. This part-time position plays a key role in supporting daily office operations by providing administrative and clerical assistance. The ideal candidate is detail-oriented, able to multitask effectively, and enjoys working in a fast-paced office environment while delivering exceptional customer service.
Schedule:
Monday – Friday, 9:00 AM – 3:00 PM (30-minute lunch) Pay: $16.00
Responsibilities Duties include, but are not limited to:
- Greet and assist visitors in a friendly and professional manner.
- Answer incoming phone calls, take messages, and direct calls to the appropriate team members.
- Monitor incoming emails and distribute or respond as needed.
- File and maintain open sales orders.
- Pull open order reports from Sage software and attach related documentation.
- File current and past Accounts Receivable (A/R) customer invoices.
- Organize and maintain the A/R filing system.
- Separate and attach three-part forms to invoice copies.
- Verify sales agent commission reports for accuracy.
- Sort and email commission invoices.
- Code and process customer payments, including checks and ACH transactions.
- Review and highlight past-due accounts on A/R reports.
- Enter shipment tracking numbers into Sage software.
- Email customers with shipment tracking information as needed.
- Enter Full Sheet Traveler information into the system.
- Check and distribute incoming mail from the front mailbox.
- Perform additional administrative and clerical duties as assigned.
Qualifications High school diploma or equivalent preferred. Previous office or administrative experience is a plus. Proficiency in Microsoft Word, Excel, and Outlook preferred. Experience with Sage software is a plus, but not required. Strong organizational skills with excellent attention to detail. Ability to prioritize tasks and manage multiple responsibilities. Professional communication and interpersonal skills. Positive attitude and a strong customer service mindset.
