Office Manager

Maumee River Roofing is seeking an organized, proactive, and leadership-minded Office Manager to join our team in Fort Wayne. In this role, you will support our daily operational needs by managing a front office team that provides administrative, customer service, and marketing support. As a key player in customer satisfaction and retention, you will ensure our front office functions smoothly, workflows remain efficient, and our clients receive exceptional service.

Key Responsibilities
  • Team Leadership:
    Manage and support front office staff, fostering a collaborative, productive work environment; develop and implement team training programs.
  • Daily Operations:
    Oversee daily front office operations, maintain office organization (supplies, equipment, administrative functions), and handle scheduling and correspondence.
  • Customer Service:
    Provide exceptional service to homeowners and clients, acting as a liaison between clients and various departments to resolve concerns promptly.
  • Financial & Administrative Support:
    Monitor office budgets and expenses to ensure cost-effective operations; manage the submission of Commercial Contractor payment schedules.
  • Accounts Receivable & Legal Liaison:
    Follow up on the status of outstanding payments and serve as the company representative for the litigation process regarding failure of payment.
  • Process Improvement:
    Collaborate with management to optimize internal workflows and customer service initiatives.
Qualifications & Experience

Required:

  • Experience:

    2–4 years of office management experience.
  • Leadership:
    Minimum of 1 year of supervisory experience (preferably with direct reports).
  • Skills:

    1 year of experience with process documentation.
  • Education:

    Bachelor's degree or equivalent professional experience.
  • Software Proficiency:
    Proficient in Microsoft Office Suite, Quick Books, and Google Workspace (Sheets, Docs, Slides).
  • Core Competencies:

    Strong project management, exceptional multitasking, outstanding listening skills, and sharp attention to detail.

Preferred (Nice-to-Have):

  • Basic skills or experience with Accu Lynx or alternative CRM software.
Physical Requirements
  • Ability to sit/stand in an office environment for 8+ hours per day.
  • Ability to work directly on a computer for 7+ hours per day.
  • Must possess a valid driver's license and the ability to drive.
