Administrative Assistant
Heritage Pointe is seeking a reliable and compassionate Administrative Assistant to join our team. This individual will play a vital role in supporting the daily operations of our community by delivering exceptional customer service to residents, families, and staff.
As the welcoming face of Heritage Pointe of Fort Wayne, this position is responsible for managing front desk operations, providing administrative support, and ensuring a positive and professional experience for all who enter our community.
This is a full-time, Monday through Friday, 8am - 4:30pm position. Candidates must be available to work alternating holidays and provide occasional coverage for other shifts as needed.
Qualifications:
- High School diploma or equivalent.
- Strong computer skills and knowledge of Microsoft Office and Google products.
- Excellent organizational skills.
- Excellent communication skills, with the ability to effectively communicate with residents, families, visitors, and staff.
- Positive attitude with the ability to work in a fast-paced environment.
Responsibilities:
- Greet visitors of the campus and prospective candidates in a warm and pleasant manner.
- Answer incoming calls on a multi-line system both internally and externally, in a warm, pleasant, and professional manner as well as transfers caller to the appropriate associate.
- Provide callers with information such as facility address, directions to facility location, facility fax number, website, and other related information.
- Perform basic office duties including scanning, faxing and filing documents.
- Maintain confidentiality of all aspects of the office including conversations, records, appointments, meetings, and personnel activities.
- Ensures that someone is always at the front to receive customers/visitors during business hours as well as to maintain building security.
- Assist Administration staff with creation of documents, maintaining strict confidentiality.
- Delivers mail and packages.
- Orders office supplies for the facility
- Create and distribute flyers, etc. for special events.
- Provides residents and resident families with exceptional customer service.
- Maintains a clean and tidy work desk and office area.
