Administrative Assistant
Shambaugh & Son L.P. is seeking an Administrative Assistant for Fire Protection National Service Division. In this role you will be responsible for providing organizational and administrative support to ensure efficient day-to-day operations. This role serves as a key resource for internal teams, customers, and leadership by managing communications, coordinating schedules, maintaining records, and supporting operational processes.
Essential Duties & Responsibilities- Provide administrative support to leadership and department personnel.
- Manage calendars, schedules, meetings, and travel arrangements as needed.
- Prepare, organize, and maintain documents, reports, and records.
- Answer and direct customer and employee inquiries in a professional manner.
- Assist with data entry, filing, purchase orders, and invoice processing.
- Coordinate office communications, meetings, and special projects.
- Support onboarding activities and training documentation.
- Ensure accurate and timely completion of administrative tasks.
- Other duties as assigned.
- High school diploma or equivalent; associate degree preferred.
- 2+ years of administrative, office support, or customer service experience.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office, including Outlook, Word, Excel, and Teams.
- Ability to manage multiple priorities while maintaining accuracy and professionalism.
- Regular and reliable attendance, including the ability to work extended hours and weekends as required.
