Position Summary:
The Branch Clerk will perform routine clerical duties to support the branch and organization.
EssentialJob Duties and Responsibilities
- Answering phone with speed, efficiency, courtesy and friendliness, routing calls to appropriate Branch Personnel and taking messages as needed.
- Copies, sorts, and files records related to office activities, business transactions, and other matters.
- Sorts incoming mail and distributes to appropriate individuals; processes outgoing mail.
- Prepare and Balance Daily Cash Reports and Deposits
- Maintains files and filing systems in accordance with departmental policies and procedures.
- Maintain and order Branch Office Supplies
- Operates office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment.
- Prepares letters, memos, forms, and reports according to written or verbal instructions.
- Other duties as assigned
Candidate must possess excellent sales and customer service skills. Excellent communication skills. Ability to work as part of a team and learn the products, terminology, and general use of HVAC equipment. Data entry skills required. Proficient with Microsoft Office Suite or related software Prior industry knowledge and experience preferred.
Physical Demands:- Prolonged period of sitting at a desk and working on a computer
- Ability to build and maintain relationships with clients
- Consistently follows procedures and adheres to standards
- Must be able to understand and interpret a variety of instructions furnished in written and oral form and follow directions.
- Must be able to communicate effectively orally and in writing
- Ability to understand product codes and terminology
- Calculate and count
- Analyze facts and determine next course of action
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Thorough understanding of office practices and procedures; knowledge of or ability to quickly learn any applicable departmental or organizational rules and regulations.
- Ability to type at least 45 WPM.
- Ability to operate a calculator or ten-key by touch.
Must work as part of a team in an open office area with noise and distractions.
