Job DescriptionPURPOSE
Perform a variety of highly-confidential secretarial, clerical and graphic design duties to support the FWCS Communication and Marketing Departments, including production of marketing and communication materials consistent with district brand standards.
MINIMUM QUALIFICATIONS
- Any combination equivalent to - graduation from high school supplemented by college level coursework in graphic design, marketing, business, secretarial science or a related field, and three years of increasingly responsible secretarial, clerical or graphic design experience.
- Must have strong office, computer, and oral and written communication skills, along with proficiency in Adobe Creative Suite (InDesign, Photoshop, Illustrator) or comparable design software. Incumbents must possess knowledge of the technical aspects, methods, processes, principles, terminology and procedures of assigned office, as well as current graphic design and digital media practices.
ESSENTIAL FUNCTIONS
- Design and produce print and digital marketing collateral for the Communication and Marketing Departments, including fliers, brochures, newsletters, signage, social media graphics, presentation templates and event materials, ensuring consistent application of FWCS brand standards.
- Assist in supporting district communication by monitoring Onflo and compiling and sending the weekly Family Information newsletter and maintaining the district Eventlink calendar.
- Coordinate, plan and organize office projects and activities to assure proper and timely completion; oversee and perform clerical functions of the assigned departments; manage the work calendars of the Director of Communication and Director of Marketing; scan, copy and print documents as requested.
- Assist in maintaining an organized digital asset library of approved photos, graphics and brand files.
- Maintain FWCS digital news archive, including organizing stories in folders and adding new stories to the archive each week.
- Assist with public records requests, posting staff discounts on the FWCS website, and compiling and maintaining the Information Guide.
- Assist in coordinating special events, including Principal for a Day, including any related design and promotional materials.
- Receive, screen and route telephone calls; greet and assist visitors; refer callers or visitors to appropriate staff members; take and relay messages; schedule, coordinate, arrange, prepare and distribute information concerning appointments, conferences, meetings, special events and other activities.
- Respond to requests, complaints and questions from officials, staff and the public, representing the departments by phone and written communication; exercise independent judgment in resolving a variety of issues, complaints and problems; refer difficult issues to the appropriate administrator.
- Review school and department requests for marketing materials for brand guideline compliance; provide design guidance and templates to school-level staff; coordinate print production with outside vendors, including proofing, cost estimates and delivery timelines.
- Evaluate, prioritize and organize the workload of the office; monitor workflow and adjust activities as needed to complete assignments and projects in a timely manner.
- Compose correspondence independently on a variety of matters including those of a confidential nature; receive, sort and distribute incoming correspondence; compile and type inter-office communications, forms, letters, memoranda, bulletins, agenda items, lists, schedules, fliers, notices, requests, agreements, contracts and other materials; format, edit, proofread and revise materials.
- Establish, maintain and manage filing systems and other clerical functions for the Communication and Marketing Departments; assist other fourth floor personnel as needed.
- Coordinate, schedule and attend various meetings; compile, prepare, revise and edit related notices, agenda items and supporting documents for meetings; prepare and send out notices of meetings and other events; collect, compile and evaluate information for meetings; take, transcribe and distribute minutes.
