Job Description
  • Ensures that the company operates with consistent, audit‑ready processes that meet regulatory, customer, and internal governance requirements. This role maintains the Integrated Management System (IMS), monitors compliance across carrier onboarding, load execution, data accuracy, and documentation, and drives continuous improvement through structured problem‑solving and Lean principles.
  • Track and report quality KPIs such as data accuracy, documentation completeness, carrier compliance, and error rates or as applicable.
  • Conduct internal audits across operational workflows (carrier qualification, load tendering, TMS data entry, billing documentation).
  • Maintain compliance documentation: carrier insurance, authority, safety ratings, certifications, and required attestations.
  • Monitor and update employee Platform Login Requests and maintain corporate platforms at the admin level, ensuring standard of quality company-wide.
  • Coordinate with HR for onboarding/offboarding/transfers/title changes, documented through shared spreadsheets.
  • Audit for compliance with HR policies, such as anti‑corruption, anti‑harassment, etc.
  • Update organizational chart and track company‑wide employee transfers, titles and team assignments.
  • Track, document, investigate, and respond to all online complaint reviews company‑wide with the primary goal of improving Circle's reputation in the marketplace.
  • Slack Workspace owner of #helpdesk, #community‑bulletin‑board, and #announcements channels by responding to employee questions and moderating conversations/comments. Push notifications regarding outages, general announcements, SOP updates, etc.
  • In partnership with the IT team, answer IT Helpdesk Requests or Platform Login Request tickets.
  • Perform project audits as needed.
  • Support various departments by regularly auditing internal data.
  • Staying apprised of updated SOPs, and housing them within QC.
  • Utilize various communication tools (ie. phone, email, text), to learn reporting tools in order to provide data to management teams, assist in the administration of all additional platforms used by the company (corporate level).
  • Work cooperatively and respectfully with customer service/sales representatives to provide solutions for customers' and carriers' needs and resolve issues in a timely manner. Manage the Customer Service email, and address any complaints that come through there.
  • Professionally respond to incoming calls and emails accurately and efficiently.
  • Work with the Training Department to organize company‑wide training and assist in the development of training programs and materials.
  • Work with the Fraud Team on any active account breaches, when needed.
  • Update all paperwork, packets and certificates in Transport Pro as needed (typically annually).
  • Vendor meetings for corporate platforms (typically Slack and Truckstop).
  • Assisting any employee with any question they have at any time.
  • Meet and exceed KPIs and goals established by department leadership.
  • May perform other duties as requested by management.
Qualifications
  • Freight brokerage, track & trace or account management experience preferred.
  • High school diploma, GED or equivalent experience required.
  • Associates or Bachelor's Degree in logistics or business related fields preferred.
  • Proficient in Google Drive and Excel (vlookup, pivot tables, reports, etc.) preferred.
  • Familiarity with ISO standards.
