As the Office Manager, you will oversee all administrative aspects of the practice, ensuring seamless operations, optimal patient experiences, and compliance with regulatory standards. You will oversee daily front office operations and work alongside team members to ensure completion of tasks. This role requires a dynamic leader with a strong background in dental office management, excellent organizational skills, and the ability to foster a collaborative team environment.

As the leader you will be expected to work with and assist in all front office projects or tasks when needed.

Key Responsibilities Practice Operations
  • Oversee Business / Front Office Operations
  • Develop, Implement, and Maintain Office Policies that Ensures Operational Efficiency
  • Generate End of Week, and End of Month Reports
  • Coordinate appointments, meetings & manage team calendars and schedules.
  • Lead and mentor our front office team & delegate assignments to ensure maximum productivity / efficiency.
  • Assist the front office team when needed (i.e. answer the phone, check out patients, assist with treatment plans, etc.).
  • Set up new team members for success (provide login information, email account, etc.).
  • Manage patient records, ensuring accuracy, confidentiality, and compliance with HIPAA regulations.
  • Coordinate and manage patient appointments, optimizing the schedule for maximum productivity
  • Schedule Bi-Weekly Leadership meetings with Dr. Lugakingira and report on New Patient Call Tracking, Production / Collections, Office Expenses, etc. This will involve late evenings hours.
  • Other duties as assigned by Director of Operations.
  • Oversee billing procedures, ensuring accurate processing of treatments and timely submission of insurance claims.
  • Manage patient payment plans and address any billing discrepancies.
  • Monitor and manage office budgets, including inventory and ordering of dental supplies and equipment.
Staff Management
  • Recruit, train, and supervise administrative and support staff, fostering a positive and productive work environment.
  • Conduct regular performance evaluations and provide ongoing training and development opportunities.
  • Develop staff schedules, ensuring adequate coverage and efficient operation of the practice.
Patient Relations
  • Oversee patient relations, address and resolve patient concerns and complaints promptly and professionally.
  • Implement strategies to enhance patient satisfaction and retention.
  • Coordinate marketing and public relations efforts to promote the practice within the community.
Compliance and Risk Management
  • Ensure compliance with OSHA, HIPAA, and other state and federal regulations.
  • Stay current with trends, legislation, and regulations in the dental profession, implementing necessary changes to office policies.
  • Develop and maintain the office contingency plan, ensuring preparedness for unforeseen events.
Qualifications
  • Bachelor’s degree in Business, Marketing, Management, or Healthcare Administration or related field is preferred
  • A minimum of 5 years of experience in dental office management or a similar healthcare setting is preferred.
  • Proficiency in dental practice management software (Dentrix Ascend) and Microsoft Office Suite.
