Payroll Specialist

Job Summary

We are seeking a detail-oriented Payroll Specialist to support payroll operations by ensuring the accurate collection, review, and preparation of employee time and pay data. This role serves as a key point of contact for payroll-related inquiries, partners closely with Human Resources, Finance, and Payroll teams, and helps ensure employees are paid accurately and on time while maintaining compliance with payroll regulations, company policies, and applicable labor laws.

Key Responsibilities

Payroll Processing & Timekeeping

  • Collect, review, and validate employee time records from approved timekeeping systems.
  • Verify timesheets for completeness, accuracy, proper job classifications, overtime, leave balances, and payroll compliance.
  • Identify and resolve payroll discrepancies prior to payroll processing.
  • Prepare payroll adjustments, corrections, and supporting documentation as needed.
  • Ensure payroll information is submitted accurately and within established payroll deadlines.

Employee Support

  • Serve as the primary point of contact for employee payroll and timekeeping inquiries.
  • Assist employees with payroll-related issues, including pay discrepancies, direct deposit, pay statements, tax forms, and system access.
  • Provide guidance on payroll procedures, timekeeping requirements, and company payroll policies.
  • Communicate payroll deadlines and important payroll updates to employees and managers.

Payroll Administration

  • Support employee onboarding and offboarding activities related to payroll, including tax forms, direct deposit setup, and payroll system updates.
  • Maintain accurate employee payroll records and supporting documentation.
  • Coordinate payroll adjustments resulting from employee transfers, leave changes, or other personnel actions.
  • Support payroll processing during holiday schedules and non-standard payroll cycles.

Compliance & Quality Assurance

  • Ensure payroll activities comply with federal, state, and local wage and hour regulations.
  • Support compliance with union agreements and company payroll policies, where applicable.
  • Maintain confidentiality of payroll records and sensitive employee information.
  • Identify payroll risks or inconsistencies and escalate complex issues when appropriate.

Cross-Functional Collaboration

  • Partner with Human Resources, Finance, Accounting, Benefits, and Operations teams to ensure accurate payroll processing.
  • Coordinate with centralized payroll teams to resolve payroll exceptions and support timely processing.
  • Assist with payroll audits, reconciliations, reporting, and process documentation.
  • Participate in payroll process improvement initiatives and system enhancements.

Qualifications

  • Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, Human Resources, or a related field preferred.
  • 2–5 years of payroll, accounting, human resources, or payroll administration experience.
  • Knowledge of payroll processing, timekeeping systems, wage and hour regulations, and payroll compliance.
  • Experience supporting multi-state payroll operations is preferred.
  • Familiarity with union payroll or construction payroll is a plus.
  • Proficiency in Microsoft Office, particularly Excel.
  • Experience with payroll and HRIS systems such as ADP, UKG, Workday, CMiC, Oracle, SAP, or similar platforms is preferred.
  • Strong attention to detail with excellent organizational and analytical skills.
  • Excellent customer service, communication, and interpersonal skills.
  • Ability to manage multiple priorities while meeting strict payroll deadlines.
  • Bilingual English/Spanish is a plus.

Preferred Qualifications

  • Experience working in construction, manufacturing, healthcare, or other multi-site organizations.
  • Knowledge of job costing, labor distribution, or union payroll practices.
  • Experience supporting payroll audits and payroll tax documentation.
  • Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is a plus.
