Education: Accredited High School diploma, GED, or Texas Certificate of High School Equivalency.
Certification/License: None.
Experience:
- Pay Grade 701 – 1 year of clerical or secretarial experience including receiving visitors via multi‑function phone system and/or in‑person, giving instructions, and maintaining confidentiality of files and records; 2 years preferred.
- Pay Grade 702 – 1 year of office experience including receiving customer visits/calls, typing correspondence and/or data entry, working with financial or other numbers, and maintaining confidentiality.
- Pay Grade 703 – 2 years of office experience performing detailed work that included the use of arithmetic, research, or other functions; payroll; correspondence; meeting planning; working with financial or other numbers, and maintaining confidentiality while collaborating with staff and other departments.
- Pay Grade 704 – 3 years of office experience such as receptionist, receiving visitors via telephone and/or in person, giving instructions, maintaining confidentiality of files and records, clerical or secretarial experience, plus data entry/search skills with FRONTLINE.
Language: Bilingual (English/Spanish) working proficiency preferred in some settings.
Essential Job FunctionsPay Grade 701 – Reception and visitor support:
- Greets all visitors to the building and determines nature of business.
- Sets the tone for a welcoming environment through demeanor, professional appearance, and communication.
- Directs visitors to appropriate personnel in accordance with district policies.
- Maintains visitor log, issues passes, and contacts staff to escort or guide visitors.
- Ensures reception desk coverage and ease of entrance access.
- Operates a multi‑line telephone console and refers callers appropriately.
- Takes accurate messages and distributes them timely.
- Responds to emergency calls and notifies parties to address safety or security issues.
- Receives deliveries and disseminates materials to appropriate parties.
- Maintains printed media providing event information.
- Prepares memos, correspondence, reports, and other documents as needed.
- Compiles, maintains, and files all reports, records, and documents.
- Assembles packets, brochures, mail‑outs, and other materials as needed.
- Assists with sorting and disseminating mail.
- Assists other departments with special projects.
- Maintains confidentiality.
Pay Grade 702 – Administrative support:
- Compiles and generates reports, statistics, timelines, tables, graphs, correspondence, and presentations.
- Answers incoming calls and provides general information.
- Arranges and coordinates meetings and conferences; maintains calendar and prepares follow‑up materials.
- Prepares periodic reports regarding related program activities.
- Prepares and maintains forms and records, including personnel and payroll information.
- Operates office equipment (computers, printers, copy machines).
- Maintains office files systematically and confidentially.
- Tracks invoices and maintains a receiving system.
- Orders and maintains supplies for the office.
- Enters purchase orders, requisitions, and work orders including travel.
- Maintains and reconciles budget expenditures.
- Maintains payroll including FRONTLINE time.
Pay Grade 703 – Advanced administrative support:
- All duties of Pay Grade 702 plus:
- Monitors and processes time records, including leave requests, and submits to central office per established procedures.
- Maintains departmental records per established procedures.
- Schedules meetings, appointments, and maintains director’s calendar.
- Assists with departmental budget preparation and records accurate expenditures.
- Prepares and processes departmental payroll submissions in a timely manner and liaises on payroll issues.
- Maintains inventory of fixed assets, equipment, and supplies.
- Assists with planning, preparation, and setup of staff meetings and departmental activities.
- Sorts, distributes, or delivers mail and other documents.
- Maintains confidentiality.
