Opportunity
As an Office Assistant at ILIAS Federal Solutions (IFED) , you will play a key supporting role in keeping our operations running smoothly. You’ll collaborate closely with our Facility Security Officer and cross‑functional teams to create a professional, organized, and welcoming environment for employees, partners, and visitors.
This position is ideal for someone who is proactive, detail‑oriented, and eager to grow within a U.S.–based federal contracting environment focused on defense operations, readiness, and mission-support projects.
Your missionAs our Office Assistant, you will support day‑to‑day office operations, including:
Office & Operational Support- Ensure a professional, well‑organized, and compliant office environment at all times.
- Assist with scheduling, email management, production planning, and other administrative workflows.
- Coordinate visitor management, Experience Center engagements, and company events.
- Support the FSO with personnel administration and workplace compliance requirements.
- Contribute to OSHA‑compliant workplace safety efforts and training initiatives.
- Assist in regular office inspections and help maintain high operational standards.
- Track expenses, monitor inventory, and support internal financial controls.
- Assist with basic accounting, budgeting, and financial analysis tasks.
- Help with purchasing processes and managing third‑party vendor relationships.
- Provide insights to enhance efficiency, automation, and operational performance.
- Review and prepare draft policies and internal procedures for FSO approval.
- Complete required training and continuously develop your skillset.
- U.S. citizenship or national status (required).
- Ability to obtain and maintain a DOD Security Clearance
. - Minimum 1 year of office or customer service experience (entry-level).
- Strong proficiency in Microsoft Office and Share Point ; experience with expense management systems (Concur, Gusto, Rydoo) is a plus.
- Excellent organizational skills, attention to detail, and a collaborative mindset.
- Ability to manage multiple priorities in a fast-paced environment.
- Willingness to work mission-essential overtime when needed.
- No degree required for entry level applicants.
- A Technical Diploma or Associate’s degree in Business Administration, Office Management, or a related field is preferred for mid-level candidates.
