Office Administrator/ Coordinator
Position Summary
This position supports daily operations of a fast-paced manufacturing facility by performing routine administrative, organizational and customer service support to division leaders and team members. This role is responsible for tasks such as drafting correspondence, calendar management, arranging travel, coordinating communications, event planning and support, and ensuring sufficient office operations in a division headquarters. This position reports directly to the general manager, as well as partnering closely with division staff and the site HR team.
Responsibilities- Provides daily administrative support to the general manager and division staff
- Serves as the first point of contact regarding conference, meetings or travel reservations for staff members
- Reconcile monthly travel expense reports and Pcard statements for manager(s)?
- Demonstrates strong customer service, organization, and interpersonal skills
- Prepares reports, presentations, spreadsheets, and correspondence as needed
- Manages mail distribution, office supplies, bulletin boards and confidential department records
- Supports division initiatives related to safety, engagement and continuous improvement
- Prepares event materials, such as flyers or invitations and assists with event planning activities
- Electronically file necessary training and personnel documents related to employment
- Assists with onboarding, orientation scheduling, new hire paperwork, and other duties as needed
- Communicates upcoming and expired training information to team members and leaders
- Ability to handle confidential information with professionalism and discretion
- Ability to adapt quickly to changing priorities and operational demands
- Escalates unresolved, time‑sensitive or high‑priority issues to the appropriate leader
- 8‑10 years of increasing responsibility in an administrative or executive assistant position
- Bachelor’s degree in business, communication, or relevant field preferred
- Strong written and verbal communication skills
- Manufacturing exposure preferred but not required
- Experience with HRIS systems and supporting executive and/or HR teams in a fast‑paced office environment preferred
- Advanced level computer skills required, including experience with MS Office, Peoplesoft and SAP Concur
- Strong troubleshooting skills
- Strong self‑starter, goal oriented and able to accomplish multiple tasks with minimal direct supervision
