Administrative Assistant

Location: Benbrook, TX
Schedule: Monday–Friday, 7:30 AM – 4:00 PM
Work Arrangement: 100% Onsite
Employment Type: Contract
Duration: 6 Months with Potential Extension

Overview

We are seeking a highly organized and detail-oriented Administrative Assistant to provide support to multiple managers and departments within a fast-paced business environment. This role is responsible for coordinating schedules, managing administrative processes, supporting meetings and reporting activities, and ensuring day-to-day office operations run efficiently.

The ideal candidate is proactive, dependable, and able to manage multiple priorities with minimal supervision. Strong communication skills, attention to detail, and the ability to work effectively with employees at all levels of the organization are essential for success in this role.

Key Responsibilities Administrative & Office Support
  • Provide administrative and secretarial support to multiple managers and their teams.
  • Maintain calendars, schedule meetings, and coordinate conference rooms and equipment.
  • Process invoices, purchasing card statements, travel card expenses, and miscellaneous departmental expenses.
  • Maintain department records, files, and documentation.
  • Distribute incoming mail and assist with general office administration activities.
Reporting & Documentation
  • Generate correspondence, letters, memos, and other business communications.
  • Compile, organize, and summarize information for special projects and departmental initiatives.
  • Prepare weekly, monthly, and quarterly reports accurately and on time.
  • Document meeting minutes, track action items, and distribute follow-up information to attendees.
  • Assist with data collection and reporting activities to support department operations.
Coordination & Logistics
  • Coordinate travel arrangements and related logistics for managers and team members.
  • Order, track, and maintain office supplies for multiple departments.
  • Organize meetings, team events, and departmental activities.
  • Support special projects and initiatives as assigned.
  • Provide backup assistance to other administrative professionals when needed.
Stakeholder Support
  • Interact professionally with employees, leadership, vendors, and external stakeholders.
  • Communicate effectively across multiple departments and business functions.
  • Assist in coordinating activities and ensuring timely completion of administrative tasks.
Qualifications Required
  • High School Diploma or GED.
  • 3+ years of administrative, office support, or secretarial experience.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Ability to manage multiple priorities and meet deadlines with minimal supervision.
  • Strong attention to detail and commitment to accuracy.
  • Proficiency with Microsoft Office Suite, including:
    • Word
    • Excel
    • Power Point
    • Outlook
Preferred
  • Experience supporting multiple managers or departments simultaneously.
  • Experience preparing reports, meeting minutes, and business correspondence.
  • Familiarity with purchasing card reconciliation, invoice processing, and expense reporting.
  • Knowledge of corporate operations, policies, and procedures.
  • Experience supporting teams in manufacturing, operations, utilities, engineering, or corporate office environments.
Work Environment
  • Fully onsite position located in Benbrook, TX.
