Primary
Purpose:
Provide administrative and clerical support to the High School front office and Fine Arts Department. This position serves as a welcoming point of contact for students, parents, staff, and visitors for a portion of the day while also assisting the Fine Arts Department with purchasing, travel coordination, event registration, and departmental organization.
Qualifications:
- High school diploma or GED required
- Associate degree or administrative support experience preferred
- Strong customer service and interpersonal skills
- Proficient in Microsoft Office and Google applications
- Ability to maintain confidentiality and manage multiple tasks
- Experience with purchasing, budgeting, event coordination, or school office operations preferred
Serve as an additional receptionist for the high school front office.
- Greet and assist students, parents, staff, and visitors in a professional and courteous manner.
- Answer and direct incoming telephone calls.
- Assist with student check-in/check-out procedures and visitor management.
- Provide clerical support to campus administrators and office staff as needed.
- Process and distribute mail, messages, and other office communications.
- Maintain accurate records and assist with routine office operations.
- Provide administrative support to the Director of Fine Arts and Fine Arts staff.
- Prepare and process purchase requisitions, purchase orders, and related documentation.
- Coordinate travel arrangements for student performances, competitions, and events.
- Assist with registration and payment processing for contests, clinics, workshops, and professional development activities.
- Maintain calendars, schedules, and departmental records.
- Assist with organizing fine arts events, performances, and special programs.
- Communicate with vendors, contest organizers, and district personnel regarding department needs.
- Track deadlines, registrations, and required documentation for fine arts activities.
- Occasional weekend duties, e.g. BHS Musical performances, drill team Spring Show
- Maintain confidentiality of information and records.
- Demonstrate professionalism and positive customer service at all times.
- Support district and campus goals through collaboration and teamwork.
- Perform other duties as assigned by the Principal and Director of Fine Arts.
This position is assigned to support both the High School front office and the Fine Arts Department. Typical duties include front office reception responsibilities during the morning and Fine Arts administrative support responsibilities during the afternoon. Assignment schedules may be adjusted based on campus and departmental needs.
