Position OverviewThe Institute for Translational Research at the University of North Texas Health Science Center is seeking to hire a Business Coordinator. Responsibilities include day-to-day operational tasks for the Institute, calendar management for research faculty, backup for purchasing, procurement card entry, managing confidential business records, office errands, database management, travel arrangements for all faculty and staff, supply orders, assistance to the Deputy Director of Operations with pre-award operations, creation of forms and SOPs to streamline processes, I.T. and/or facility work orders, and other faculty support duties as needed.
Minimum QualificationsBachelor's degree and three (3) years of related experience, or any equivalent combination of education and experience.

- Ability to work independently, determine priorities, and make appropriate decisions.
- Strong analytical and problem-solving skills.
- Ability to be self-sufficient and work with minimal supervision.
- Attention to detail.
- Bachelor's degree and two (2) years of related experience, or an equivalent combination.
- Multitasking ability.
- Proficiency in Microsoft Office.
- Customer service etiquette.
- Knowledge of account/budgeting procedures.
- Strong communication skills, both interpersonal and written.
- Provide faculty support for travel and presentations: make all travel arrangements (booking in Coupa, paying registration with P-Card, processing reimbursements); assist with creating, reviewing, or finalizing PowerPoint presentations; order posters for faculty and staff at conferences.
- Calendar management and assistance for ITR faculty members: schedule meetings and coordinate with outside groups/individuals on faculty availability.
- Meeting management for ITR specified cores and groups (Omics, Biostatistics, Neuroimaging, Data, etc.): monthly/quarterly/biannual scheduling of recurring core and group meetings; create agendas; send out and maintain Zoom links; manage business minutes, including attendance and reviewing notes generated by Fireflies AI note taker for accuracy; organize and store finalized minutes.
- ITR administrative operations tasks: institute time keeper, faculty supply orders, maintain office records via database, assist Deputy Director with space management and planning, process and route forms for signature, maintain and schedule ITR conference room calendars.
- Coordinate quarterly ITR full group meetings and lunches: schedule, meeting location, lunch location, group emails, PowerPoint coordination, catering choices and payment coordination.
- Coordinate faculty recruitment and guest visits: schedule and generate full-visit itinerary, set up all meetings, make travel arrangements, synchronize activities while on campus, process reimbursement.
- Track institute faculty publications and publications tied to funded grant data: track submission status and progress, process payment for publication fees upon acceptance, maintain database of citations and totals for each year, including submissions and accepted publications.
