Associate Secretary - Administration
Under direct supervision provide reception and clerical assistance for the efficient operation of the central administration office.
High school diploma or GED
Proficient word processing and file maintenance skills
Effective organizational, communication, and interpersonal skills
Ability to use personal computer and software to develop spreadsheets, databases, and do word processing
Knowledge of basic accounting principles
Ability to follow written instructions
Ability to operate multi-line phone system
One year clerical experience in office setting
Greet visitors and respond to routine questions from staff and public.
Prepare materials, meeting agendas and communication as requested, using typewriter or computer.
Maintain a daily attendance log and records. Follow district policies, state regulations, and attendance procedures.
Monitor visitor check-in procedures and maintain campus security protocols.
Maintain confidentiality of student and personnel information.
Schedule meetings and appointments and maintain calendar for
Assist students, teachers, and parents as needed.
Receive incoming calls, take reliable messages, and route to appropriate staff.
Maintain physical and computerized files including mailing lists, visitor logs, and office communication.
Update handbooks, policy manuals, and other documents as assigned.
Standard office equipment including personal computer and peripherals; multi-line phone system
Continuous sitting
Repetitive hand motions including reaching. Frequent keyboarding and use of mouse.
Occasional light lifting and carrying (less than 15 pounds)
Reception desk in the administrative/central office
Work with frequent interruptions; maintain emotional control under stress
