Administrative Assistant to TCU Catholic Campus Ministry
Assist the Director of Campus Ministry administratively by providing support in maintaining records, organization, and planning campus ministry activities.
Greet visitors and answer phone calls graciously and in a professional manner.
Assist and/or lead short-term projects and initiatives at request of the Director.
Respect the need for confidentiality and sensitivity of information.
Have a proven ability to exercise good judgment in recognizing the scope of authority.
Developing and maintaining spreadsheets, databases, and mailing lists.
Organize documents for Director of Campus Ministry approval and maintain a record of expenses.
Assist the Director of Campus Ministry for meetings, events and any other activities offered by the office. Including coordinating and publicizing meeting logistics and registration for student events. Ensure that set up and take down activities necessary for all events are performed.
Organize and maintain the volunteers' contact and required trainings (including Safe Environment) within the ministry.
Manage and purchase food and supplies following the budget under direction of the Director.
Assist with the upkeep and operation of the Newman Center.
- Ensure that all altar linens used for Mass are cleaned and pressed.
Assist Director in serving as point of contact for communications with TCU Office of Religious and Spiritual Life as well as the Faculty Advisor.
Responsible for all other projects, tasks, etc., as assigned.
This position works in a typical office environment but is subject to stress due to the evolving and quickly expanding business needs, tight deadlines and heavy workloads.
The ability to lift up to 35 pounds is required to set up rooms for classes and carry books, packages, or supplies.
Significant amount of time regularly spent answering and speaking on the telephone and corresponding via email to individuals internal and externally.
The working hours for this position are flexible based on the TCU Academic Calendar. Evening and weekend hours will be required.
Limited travel may be required to locations within the Metroplex.
Associates degree or greater in related field
Office management and administration
Computer literacy in Microsoft Office Suites
Active practicing Catholic in good standing with the Catholic Church
Bi-lingual fluency in speaking, reading, and writing English and Spanish, preferred
Excellent communication/presentation.
Organizational, facilitation, research and process skills.
Proficiency in time management and record keeping.
Must have a valid driver's license and have the ability to use one's own vehicle (mileage is reimbursed) for business travel.
