Job SummaryAs an Administrative Assistant at Integrity Marketing Group, you will be responsible for supporting multiple executives and their teams. You will work on everything from calendar management & scheduling, to helping plan team events & offsites, to coordinating the best experience for guests coming to our office. We’re looking for a strategic partner who makes smart decisions on behalf of executives, not just someone who executes on orders.
PrimaryResponsibilities
- Deliver top-tier administrative support that includes managing both ongoing tasks and ad hoc business initiatives, such as preparing meeting agendas, tracking deliverables, and compiling meeting materials.
- Work autonomously, exercising discretion and maintaining the highest standards of confidentiality when handling sensitive information.
- Manage and coordinate complex calendars for multiple executives, demonstrating exceptional flexibility, organization, and problem‑solving skills in adjusting schedules, often with last‑minute changes.
- Arrange executive travel and handle expense reports with efficiency and accuracy.
- Design and produce presentations and documents using PowerPoint and other Microsoft Office tools to support executive communications and decision‑making.
- Assist in planning and executing logistics for large meetings and special events, ensuring all details (conference rooms, catering, agendas, etc.) are flawlessly handled to create a positive, team‑oriented environment.
- Additional duties as assigned, with a commitment to providing comprehensive support.
- Education: Bachelor’s degree preferred.
- Experience: Minimum of 1–2 years of administrative experience, preferred 3–5 years, with demonstrated proficiency in Microsoft Office and executive calendar management.
- Skills:
- Physical Requirements: Ability to lift and/or move up to 20–25 pounds.
- Other: Must be available to work in the office full‑time.
