Position Summary
We are seeking an exceptional Senior Executive Administrator to serve as a trusted partner to executive leadership within a fast-paced corporate environment. This role provides direct support to C-level executives and requires an individual who operates with discretion, professionalism, and exceptional attention to detail.
The ideal candidate is proactive, resourceful, and able to anticipate executive needs before they arise. They thrive in high-expectation environments, seamlessly manage competing priorities, and consistently execute with accuracy and urgency. This individual will serve as a key liaison between executive leadership, legal counsel, and corporate departments while supporting strategic initiatives, confidential projects, and daily executive operations.
Key Responsibilities
- Manage complex executive calendars, appointments, and daily priorities for C-level leadership.
- Coordinate domestic and international business travel, including itineraries, accommodations, transportation, and meeting logistics.
- Prepare meeting agendas, presentation materials, reports, and executive correspondence.
- Screen communications and prioritize requests while ensuring timely follow-up.
- Maintain strict confidentiality when handling executive communications, legal matters, and sensitive business information.
- Review, organize, and track contracts, non-disclosure agreements (NDAs), and corporate documents.
- Serve as the primary liaison between executive leadership, legal counsel, and internal corporate teams.
- Support the execution of strategic initiatives, corporate policies, and executive directives.
- Coordinate board meetings, executive meetings, leadership events, and other high-level corporate functions.
- Track high-priority projects, deadlines, and action items to ensure timely completion.
- Manage confidential executive assignments and special projects with minimal supervision.
Qualifications
- 5+ years of experience supporting C-level executives (CEO, COO, CFO, or equivalent).
- Proven experience managing complex calendars, executive priorities, and confidential information.
- Experience coordinating domestic and international travel.
- Experience with legal documents, contracts, and corporate records preferred.
- Advanced proficiency in Microsoft Office Suite, Outlook, and Teams.
- Exceptional organizational, communication, and multitasking skills.
- Strong attention to detail with the ability to prioritize in a fast-paced environment.
- Professional executive presence with sound judgment and discretion.
- Self-motivated, proactive, and able to anticipate executive needs with minimal direction.
