We are currently seeking an organized and proactive Office Assistant to support our team in daily operations and ensure the smooth functioning of our office.
Position OverviewAs an Office Assistant, you will play a vital role in keeping our firm running efficiently. You will be responsible for a variety of administrative tasks that contribute to the overall productivity of our legal team.
Key Responsibilities- Reception Duties:
Greet clients and visitors in a friendly and professional manner, answering phone calls and directing inquiries as needed - Document Management:
Organize, file, and maintain electronic and paper records, ensuring that all documentation is accurate and accessible - Data Entry:
Assist with data entry tasks related to case files, maintaining up-to-date and accurate information in the firm's systems - Scheduling:
Help with scheduling appointments, meetings, and court dates for attorneys and staff, managing calendars effectively - Office Supplies Management:
Monitor inventory of office supplies and equipment, placing orders as necessary to ensure that the office is adequately stocked - Assisting Legal Team:
Provide general administrative support to legal professionals, including preparing documents, drafting correspondence, and assisting with trial preparation
- High school diploma or equivalent required; associate degree or higher preferred
- Previous experience as an office assistant or in an administrative role is preferred
- Strong organizational skills and attention to detail to manage multiple tasks effectively
- Excellent communication skills, both verbal and written, with a customer service focus
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment
- Ability to maintain confidentiality and handle sensitive information professionally
