The Project Administrator serves as the administrative and operational hub of the facility, coordinating the people, processes, materials, records, and resourcesrequiredto keep daily operations running smoothly. This role supports manufacturing and operations leadership by owning many of the administrative, logistical, and coordination responsibilities that enable teams to focus on safe, productive execution.
The ideal candidate is highly organized, proactive, detail-oriented, and comfortable managing a wide variety of tasks in a fast-paced manufacturing environment. Success in this role comes fromidentifyingneeds before they become problems and ensuring the facility, workforce, and operations teams have the resources and supportrequiredto execute effectively.
Key Responsibilities Operations Coordination- Support day-to-day operational activities across the facility.
- Coordinate visitors, contractors, vendors, customers, and other site guests.
- Support hiring activities, interview scheduling, candidate visits, and onboarding logistics.
- Coordinate training schedules, employee events, workforce activities, and facility communications.
- Assistoperationsleadership with administrative support, communications, reporting, and special projects.
- Helpidentifyand address operational support needs to keep the facility running efficiently.
- Create and manage purchase requisitions andpurchaseorders.
- Track orders, deliveries, and vendor communications.
- Process receiving documentation andmaintainaccuraterecords.
- Coordinate invoice matching andpurchasingdocumentation.
- Maintain inventories of PPE, office supplies, breakroom supplies, consumables, and common-use materials.
- Coordinate replenishment of operational and administrative supplies.
- Support inventory audits and material tracking activities.
- Process and review employee timekeeping records.
- Support payroll-related administrative activities and resolve discrepancies.
- Maintain employee records,onboardingdocumentation, and workforce files.
- Support PTO administration, including tracking requests, coordinating approvals, andmaintainingaccuratetime-off records.
- Maintain training matrices, certifications, qualification records, and training documentation.
- Coordinate required training, recertifications, and workforce compliance tracking.
- Support onboarding activities for new employees and contractors.
- Coordinate facility service requests and external service providers.
- Assist with workspace setup, office equipment, furniture coordination, and employee resources.
- Manage visitor processes, access requests, badges, keys, and facility support needs.
- Coordinatecommon areaneeds and facility consumables.
- Serve as a liaison between facility users and service providers to resolve site-related issues.
- Maintain personnel, operational, training, safety, and administrative records.
- Maintain document libraries, forms, templates, and controlled documents.
- Assist with document control and revision management activities.
- Support audits, inspections, and compliance recordkeeping.
- Ensure current operational documents and standards are readily accessible.
- Maintain labor, attendance, staffing, and training reports.
- Compile operational data and recurring reports for leadership.
- Assist with dashboards, presentations, and operational reporting.
- Coordinate site communications, announcements, and information boards.
- Maintain organized electronic and physical filing systems.
- High school diploma or equivalent.
- 3+ years of experience in administrative, operations coordination, office management, project support, or similar roles.
- Strongproficiencyin Microsoft Office, including Excel, Outlook, Word, and Teams.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong written and verbal communication skills.
- Ability to work independently while coordinating across multiple teams.
- Experience supporting manufacturing, construction,logistics, distribution, or industrial operations.
- Experience with ERP, purchasing, inventory, payroll, or workforce management systems.
- Associate'sor Bachelor's degree in Business, Operations, ora related field.
- Experience supporting startup operations or project teams.
