Boutique Fort Worth commercial real estate law firm is seeking a dependable, service-oriented part-time receptionist to serve as the first point of contact for clients and visitors. The ideal candidate is professional, customer focused, welcoming, organized, and ready to assist wherever needed.
Responsibilities:- Greet visitors warmly and professionally, notify the appropriate staff member of their arrival, and direct them to the reception area or conference room as appropriate.
- Answer incoming calls promptly and professionally; route calls to the appropriate person or accurately record and deliver messages.
- Receive, sort, and distribute incoming mail and deliveries promptly.
- Maintain an orderly, professional reception area and ensure the conference room is ready for scheduled meetings.
- Assist staff with routine scanning, copying, filing, and document organization.
- Handle client and firm information with discretion and maintain confidentiality at all times.
- Order and maintain office supplies and kitchen inventory.
- Coordinate catering and refreshments for meetings as needed.
- Assist with office events and firm activities.
- Assist with records retention and document organization projects.
- Administrative tasks as assigned.
Competencies:
- Professional, dependable, punctual, and committed to providing courteous service to clients, visitors, and coworkers.
- Comfortable using Microsoft Word, Outlook, email, and basic office equipment such as a multiline telephone, copier, and scanner.
- Ability to prioritize tasks and manage multiple deadlines.
- Strong customer service and interpersonal skills.
- Problem-solving skills and initiative.
- Clear verbal and written communication skills, strong organizational skills, attention to detail, and the ability to manage interruptions while maintaining a professional demeanor.
- Monday through Thursday, 1:00 p.m. to 5:00 p.m.
- Friday coverage from 8:00 a.m. to 5:00 p.m. is preferred; however, the firm may consider a modified Friday schedule for the right candidate.
- This is an in-office position at the firm’s Fort Worth office; remote work is not available.
