Position Purpose

Provides basic secretarial support within the Special Education Department in a business office or service function; types reports, correspondence, and forms; receives, sorts, and distributes mail; receives and routes telephone calls; receives visitors and schedules appointments.

Essential Job Functions
  • Answers incoming calls from employees, community members, and others; provides general information, and refers callers, as appropriate, to other staff or other District personnel.
  • Receives, sorts, and distributes mail.
  • Proofreads typed materials for grammatical and typographical accuracy.
  • Verifies records, forms, and applications for accuracy and thoroughness.
  • Responds to inquiries regarding location and established policies and procedures.
  • Assists with purchases and warehouse orders for department.
  • Maintains special education student files in a systematic and confidential manner.
  • Operates multiple function text equipment to record, transfer, combine, and duplicate information in appropriate formats.
  • Receives student special education eligibility folders physically and electronically.
  • Files, retrieves, and sends folders when requested by campus or other districts.
  • Queries and sends records electronically to outside districts as requested.
  • Scans and uploads records as needed.

Knowledge, Skills & Abilities
  • Knowledge of office procedures and of spelling, grammar, punctuation, and arithmetic.
  • Knowledge of records administration and maintenance techniques and procedures.
  • Knowledge of inventory control principles and methods.
  • Knowledge of using MUNIS software in a school administration environment.
  • Knowledge of correct English usage, grammar, spelling, punctuation, and vocabulary.
  • Skill at the intermediate level, working with Focus, Microsoft Office 365, especially Outlook, PowerPoint, Word, and Excel.
  • Skill in performing mathematical calculations with accuracy.
  • Skill in editing documents for correct grammar.
  • Skill in actively looking for ways to help people.
  • Skill in completing assignments accurately and with attention to detail.
  • Skill in interpersonal relationships, including using tact, patience, and courtesy.
  • Ability to maintain confidential student records.
  • Ability to accurately prepare and maintain records, files, and reports.
  • Ability to maintain records of materials, supplies, time, and work performed.
  • Ability to work under pressure and meet close deadlines.
  • Ability to process and handle confidential information with discretion.
  • Ability to review work for accuracy.
