Overview:
This position supports the development of complex, multi-disciplinary proposals and statements of qualifications (SOQs). The Proposal Coordinator II collaborates closely with technical staff, marketing team members, and subconsultants to manage content, schedules, and deliverables for high-quality, compliant submissions. This role requires excellent organization, and time management skills, along with the ability to coordinate fast-paced proposal efforts independently.
Responsibilities:- Facilitate the proposal process
- Coordinate the preparation, development, and layout of SOQs and proposal documents from kickoff through final delivery, ensuring compliance with submission requirements
- Format documents and ensure brand compliance and proposal consistency
- Ensure proposals meet compliance requirements and align with evaluation criteria
- Manage content development with input from marketing, technical staff, and leadership
- Manage proposal schedules, maintain pursuit checklists, and ensure timely submission of all components
- Facilitate proposal kickoff and milestone meetings to maintain progress and accountability
- Support QA/QC processes to ensure high-quality, error-free deliverables
- Maintain and update proposal databases, libraries, boilerplate material, and template
- Conduct research and gather information from internal teams to support proposal content
- Track and manage multiple deadlines simultaneously, prioritizing tasks based on project needs
- Contribute to identifying proposal process improvements and content updates
- Bachelor's degree in English, Communications, Marketing, or related field preferred
- 4+ years of experience in a proposal coordination role, preferably in the AEC (Architecture, Engineering, and Construction) industry Proficiency in Adobe InDesign, Microsoft Word, PowerPoint, and Acrobat
- Strong writing, editing, and proofreading skills
- Excellent organizational skills and the ability to manage multiple concurrent deadlines
- Effective communicator with the ability to collaborate with technical and non-technical staff
- Dependable and flexible with a proactive, team-oriented approach
- Availability to work Monday - Friday, 8am - 5pm, with overtime as needed
