Job Summary
The Coordinator of Degree Certification is responsible for managing undergraduate and graduate student degree certification processes in the College of Communication, and serves as the primary support for undergraduate and graduate academic programs and processes in the college.
Duties & Essential Job FunctionsPrepares and monitors students' intent to graduate at 84 hours of coursework (or two semesters prior to graduation); notifies students they have been approved for graduation or that they do not meet graduation requirements; provides degree certification and graduation approval, in collaboration with the Registrar's Office, of seniors by reviewing all undergraduate academic advising reports, ensuring that graduation requirements have been met;
certifies progress for student athletes for NCAA compliance.
Serves as the initial point of contact for graduate student admissions; provides admission policy and procedure information to prospective graduate students; tracks applications and notifies applicants of missing materials where necessary; collects and compiles application materials, and provides them to admission committees and graduate directors; notifies applicants of admission decisions and provides information on enrollment and financial aid, where applicable;
sends notices to graduate students of deadlines for forming their graduate committees, filing intent to graduate forms, etc.; provides graduate students with instructions on publishing theses; certifies graduate students for graduation.
Monitors and runs queries for student registration as needed; processes change of major requests; manages advisor assignments; provides support regarding study abroad, transfer credit requests, overload requests, retroactive language credit, exception requests, late adds and drops (especially after approval for graduation) in conjunction, when needed, with Registrar's Office, Dean, Associate Deans and Academic Advisors; makes recommendations for improvement and oversees the implementation of approved changes;
receives, processes, and maintains documents and databases; troubleshoots potential problems and makes appropriate referrals; meets with faculty as necessary; ensures that College of Communication record keeping processes align with those of the Registrar's office; assists Associate Deans with catalog updates as needed.
Supports department coordinators in creating a college-wide classroom schedule each semester; checks requested schedules to ensure they meet university Registrar's standards; submits and updates college-wide classroom schedule in a timely and accurate manner; assists the College Academic Advisors with logistics for orientation and registration sessions or advising workshops by reserving locations etc.
Works collaboratively in the Dean's Office and college team to assist as needed.
- Bachelor's Degree.
- 2 plus years' experience in higher education administration.

- 3 plus years' experience using higher education software.
- Knowledge of curriculum and degree requirements.
- Knowledge of university programs; knowledge of program planning.
- Knowledge to establish and maintain processes utilizing appropriate tools, with an emphasis on Peoplesoft, Coursedog, Stellic, and Slate.
- Knowledge of research techniques.
- Knowledge of NCAA student athlete compliance requirements.
- Skill in components of Microsoft Office Suite, with an emphasis on Word and Excel.
- Skill in complex problem solving.
- Skill in communications and interpersonal techniques, including being an effective member of a team.
- Ability to quickly learn new technologies and information systems as needed.
- Ability to clearly communicate information orally and in writing.
- Ability to manage multiple projects and meet deadlines.
- Ability to review and make recommendations to improve and streamline processes.
- Ability to interact with constituencies and peers.
