Fort Worth Country Day's College Counseling Office is seeking a College Counseling Associate to manage the logistical and administrative processes of a dynamic high school college counseling office. The candidate for this position will be part of a closely-knit, hard-working team and must be able to flourish in a high-energy, fast-paced high school environment. This position reports directly to the Director of College Counseling.
The College Counseling Associate's daily responsibilities will vary with different times of the academic year.
This is a full-time, non-exempt position typically working prior to the school year beginning in early August through the first week of June (dates will vary depending on the school calendar) with breaks for Thanksgiving, Winter Break and Spring Break. Anticipated work hours are Monday through Friday, 8:15 a.m.
- 4:30 p.m, with occasional before or after school meetings. Candidates should be prepared to work longer hours as needed at various points during the academic year, particularly during September, October and May, with occasional evenings and weekends due to programming run by the College Counseling Office.
- Serving as the first point of contact in the College Counseling Office for students and parents/guardians as well as college and university admission representatives
- Processing of transcripts and school documents: ensuring transcripts are up-to-date and accurate, uploading all transcripts into college application management software, assisting college counselors in submitting school-based application materials by required deadlines
- Assisting with the ordering and administration of annual AP Exams as well as the PSAT/NMSQT and a practice ACT
- Handling all event planning for daytime, evening, and weekend College Counseling programs, such as booking space, confirming catering details, setting up technology needs and communicating program details
- Overseeing the college and university admission representative visit calendar: making appointments, confirming classroom/meeting space for all visits, ensuring students are informed of the visits, assisting with meet-and-greet of visitors
- Working closely with Upper School faculty in managing their teacher recommendation requests and formatting all letters prior to submission
- Ensuring the student database information is up-to-date and accurate
- Working closely with college counselors to keep track of students' college and scholarship applications and making sure all materials are submitted on time
- Assisting with entering and updating College Counseling events on the School's room scheduling software and master calendar
- Scheduling student and parent/guardian appointments with college counselors
- Maintaining a welcoming office environment
- Other duties as assigned
- Demonstrate interest in learning about College Counseling and a willingness to attend professional development programming including but not limited to the ACCIS Office Assistants Program
- Represent the School in a favorable manner
- Have excellent communication, organizational and problem-solving skills
- Experience in college admission or high school college counseling is preferable or 5+ years of administrative office experience in a customer-service oriented, professional environment
- Passionate about helping students, especially when it comes to navigating the college process
- Possess a warm, welcoming demeanor and an eagerness to establish an excellent rapport with high school-age students and their families
- Exceptional organizational skills with flawless attention to detail are a must
- Ability to set priorities, multi-task and meet deadlines
- Adaptability for the unexpected as well as changing priorities
- Outstanding communication skills and ability to proof own work and that of others
- Ability to maintain the confidentiality of sensitive student/family records
- Demonstration of professionalism, poise, tact and diplomacy
- Excellent computer literacy skills, including proficiency in Microsoft Office and Google suite
- Knowledge of Scoir, a college counseling platform, is a plus
- College degree is preferred
