Position OverviewWe are seeking a Family Office Accounting Specialist to support the financial operations of the Firm owner’s private family office and related investment entities. This role does not support the law firm’s internal accounting department. Instead, it focuses on bookkeeping, financial organization, and investment-related recordkeeping across closely held entities and private investments. This position is designed to provide long-term continuity within a highly confidential, high-trust environment.
The individual in this role will work closely with the current accountant and gradually assume increasing responsibility for maintaining accurate financial records, tracking investment activity, and coordinating with external advisors and stakeholders. The ideal candidate is steady, highly detail-oriented, and takes ownership of their work with a “figure it out and get it done” mentality. Accuracy, discretion, and follow-through are essential.
- Maintain accurate general ledgers and financial records for multiple family entities and private investments
- Perform precise bank and account reconciliations
- Record and reconcile investment income, including dividends and partnership allocations
- Organize and maintain documentation related to entity structures and financial activity
- Prepare financial summaries and reports for internal review
- Collect and organize year‑end tax documentation, including K-1s and 1099s
- Handle highly sensitive financial and persona information with discretion
- Monitor deadlines and ensure documentation remains organized and audit‑ready
- Identify discrepancies, research issues, and follow through to resolution
- Prior bookkeeping or accounting experience required
- Strong proficiency in Quick Books preferred
- Solid Excel skills and comfort working with financial spreadsheets
- Experience supporting multiple entities or working in a closely held business environment preferred
- Experience organizing documentation for tax preparation or working with K-1s preferred
The successful candidate demonstrates exceptional attention to detail, accuracy, and follow-through. They are organized, dependable, comfortable working independently, and motivated to grow into expanded responsibility over time. Discretion, integrity, and professionalism are essential in handling sensitive financial information.
