The Loan Assistant III position supports the bank’s loan officers by servicing, maintaining, and updating loan documentation and files. The role requires substantial interaction with new and existing bank customers, both internal and external, and demands excellent customer service skills and proactive communication.
Essential Duties and Responsibilities- Maintain a significant understanding of loan documentation, credit policy, and banking regulation to continually review changes and ensure compliance with company credit policy and regulatory requirements.
- Coordinate the preparation, review, and execution of required loan documentation; organize workflow for loan renewal; and follow up with clients, insurance agents, title companies, and attorneys for missing documents.
- Provide effective file maintenance to resolve exceptions and manage outstanding exception items in accordance with Credit Policy.
- Assist the assigned banker in collecting financial data and communicating with clients via phone and email to manage overall client relationships.
- Handle client‑related services such as wires, NSF accounts, and overdrafts.
- Interpret complex financial statements and analyses, translating all details to the appropriate business partner.
- Monitor reports (past‑due, paid‑off loans, criticized assets, maturing loan lists) to proactively inform bankers of potential or pending issues.
- Promote an outstanding customer experience through prompt follow‑up, proactive internal/external communication, proper etiquette, and professionalism.
- Maintain moderate knowledge of HMDA, CRA Community Development, and CRA Small Business Revenue inputs for accurate reporting and compliance.
- Partner with ancillary departments—including Loan Admin, CIS, Loan Review, Special Assets, Bank Card, and Consumer Special Services—to support loan administration.
- In certain markets, demonstrate understanding and communication of the bank’s retail services and processes to perform retail functions as needed.
- Perform other duties and responsibilities as assigned.
- Read, write, analyze, and comprehend simple instructions, routine business correspondence, financial reports, and legal documents.
- Read and interpret procedure manuals, general business correspondence, and government regulations.
- Manage problematic situations diplomatically.
- High school diploma or GED required.
- Four to six years of clerical, administrative support, or general office experience.
- Prior loan experience required.
- Proficiency in MS Office applications.
- Thorough understanding of banking operating systems, including Lending Cycle, Argo, and Synergy, or comparable experience with similar systems.
- Self‑starter, able to work independently, proactive in judgment, capable of multi‑tasking, and punctual in task completion.
- Training in communication, customer service, time management, and critical thinking is a plus.
