Position Summary
The Medical Office Receptionist provides administrative and clerical support across multiple front office
functions within a busy vascular surgery practice. This role is essential to maintaining an
efficient and patient-centered environment, ensuring seamless coverage across check-in,
check-out, scheduling, referrals, and insurance verification. The ideal candidate is flexible,
detail-oriented, and able to adapt quickly to changing priorities while maintaining a
professional and compassionate demeanor.
- Greet patients and visitors warmly, creating a welcoming and professional environment.
- Register patients accurately in the electronic medical records (EMR) system.
- Verify patient insurance eligibility and collect co-pays and outstanding balances.
- Schedule, reschedule, and cancel appointments according to clinic guidelines.
- Answer and route incoming phone calls in a timely and courteous manner.
- Triage phone calls appropriately by gathering necessary information and determining the urgency of the request.
- Document messages clearly and accurately in the EMR or communication system.
- Follow established protocols for handling urgent or emergency calls.
- Work incoming and outgoing referrals, ensuring all necessary documentation is obtained, entered, and communicated to the appropriate parties.
- Communicate effectively with clinical and administrative staff to ensure seamless patient flow.
- Maintain patient confidentiality and adhere to HIPAA regulations at all times.
- Monitor and maintain the cleanliness and organization of the reception area.
- Assist with administrative tasks such as scanning, filing, faxing, and data entry.
- High school diploma or equivalent required.
- Minimum of 3-5 years of experience in a medical office or customer service environment.
- Demonstrates comprehensive knowledge of insurance verification processes, including eligibility, benefits, authorizations, referrals, and coverage limitations to ensure proper billing and patient communication.
- Proficiency in EMR systems.
- Strong understanding of medical terminology and HIPAA regulations.
- Excellent organizational skills, communication skills, and ability to multitask and handle a fast-paced work environment.
- Bilingual highly preferred but not required.
