Description- 100% In Office
The Senior Property Manager is an essential role collaboration with the assigned team and property accounting department, manage class A commercial office and industrial properties in accordance with owner goals, industry best practices and management agreement.
Priority Functions / Responsibilities- Manage commercial (office or industrial) properties in accordance with industry best practices and management agreement and in collaboration with direct reports (Property Manager, Assistant Property Manager, and Building Maintenance Tech) and the property accounting department.
- Conduct property tours on a weekly or monthly basis and document accordingly. Office buildings require a physical walk‑through; onsite managers should conduct common area inspections daily.
- Inspect irrigation systems and landscaping and manage required repairs through vendors and maintenance technicians during monthly inspections.
- Conduct roof inspections monthly through a building maintenance technician and annually through an external consultant.
- Inspect relevant lighting systems (internal/external for office and external for industrial) through vendors and maintenance technicians during monthly inspections; manage necessary repairs.
- Identify maintenance issues through review and analysis of work‑order system reports by documenting and tracking all maintenance through the work‑order system.
- Be on call and knowledgeable of all after‑hours issue resolution protocols.
- Address all building emergencies immediately, notify owners in writing, and update HPI managers as appropriate; notifications should be provided in writing within 24 hours.
- Manage tenant move‑ins and move‑outs in collaboration with leasing and accounting teams, in addition to tenant finish and new construction warranties.
- Responsible for knowing the specifications of vendor services, overseeing quality, and the ability to terminate or hire services for the designated property.
- Insurance management:
Understand and enforce all certificates of insurance for buildings, tenants, and vendors. - Develop an understanding of ownership, debt structure, owners’ objectives, and how they influence budget creation and management.
- Ensure compliance with accurate development of all building reporting requirements.
- In collaboration with the A/R department, manage monthly A/R: rent roll, reconciliations, collections, demand letters, and lockouts if necessary.
- In collaboration with the property accountant, manage monthly A/P: approve all utility invoices, communicate expected expenditures, and ensure proper coding.
- 7–10 years of experience (Commercial PM mandatory, Financial Mgmt., Staff Mgmt. Experience)
- Prior experience managing over 1 million square feet of commercial properties
- Minimum HS diploma required; college degree preferred or comparable work experience
- Texas Real Estate License required
- CPM or RPA designation strongly preferred
- Affiliations with industry organizations (IREM, BOMA) preferred
- Prior experience with MS Office Suite required
- Experience with commercial property management software (example: Yardi)
- Knowledgeable about commercial building maintenance systems
- Able to create and understand financial reporting necessary to comply with management agreement
- Prior team management experience required
- Valid driver’s license, clean driving record, and functional vehicle
- Physical ability to conduct property tours
- 5–7 years of experience managing a large team (e.g., Property Mgr., Assistant Property Manager, Property Assistant, Chief Engineer, Assistant Chief Engineer, Bldg. Techs)
- Prior experience working with multiple service vendors (Security, Janitorial, Elevator, Parking Manager/Garage, HVAC, etc.)
