Position: JUSTICE COURT MANAGER ASSISTANT, Justice of the Peace 8

Summary

The Justice Court Manager Assistant will be responsible for assisting with the daily functions of the Justice of the Peace – Pct #’s (1-8) includingsupervisingthe daily operations of the department and oversee the quality of the work completed. Oversees office assuring compliance with all statutes, rules, and court orders as well as departmental and court policies. Train clerks, schedule work assignments as needed and handle difficult problems.

Monitor and report to Court Manager departmental resources and evaluate staff performance. Assist in the research and implementation of new programs and procedures. Assume the duties of Justice Courts Manager in his or her absence.

Supervisory Responsibilities

Supervises one or more employees in the (department). Responsible for the overall direction, coordination, and evaluation of these employee(s). Carries out supervisory responsibilities in accordance with the county’s policies and applicable laws. Responsibilities include interviewing, hiring, and training employee(s); planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

  • Supervises, trains, monitors, and evaluates clerk performance identifying strengths and weaknesses and reports these to the Court Manager for further evaluation.
  • Manages personnel resources by assisting with interviewing and screening of new applicants and making recommendations for hiring, promotions, demotions and terminations.
  • Plans and assigns daily workload.
  • Provides daily or frequent reports to the Court Manager.
  • Acts as first level resource for staff questions regarding customer issues, policies, etc.
  • Assists Court Manager in the coordination with other departments to expedite work and improve performance.
  • Performs quality checks of department staff work and makes corrections as necessary.
  • Recommends policies and procedures to the Court Manager as needed and enforces procedures to expedite and improve processes.
  • Participates in personnel matters including disciplinary actions and the resolution of departmental disputes.
  • Conducts meetings with management. Prepares and presents informational presentations for staff meetings.
  • Prepares requisitions for supplies.
  • Coordinates equipment maintenance and service calls and assists Court Manager with compilation of statistical data used for determining future budget needs.
  • Assists management with reviewing and tracking legislative bills to determine the impact on the Justice Court’s Office as required by management.
  • Assists management with monitoring monetary transactions and procedures performed by other clerks to ensure compliance with Justice Courts and County Auditor policies.
  • Responsible for ensuring that daily deposits are retrieved by armored car service.
  • Routinely answers customer questions and provides case information to attorneys and the public. Explains and applies complex legal procedural information as it relates to filing requirements and compliance with court orders and policies.
  • Attends court hearings and trials to assist Judge, process court evidence and exhibits by inputting date into the court management system, and draft judgments as trials are being conducted.
  • Responsible for efficient docket and trial management for civil, criminal, and administrative cases.
  • Monitors compliance of legal notices and demands related to eviction appeals for non-payment of rent cases.
  • Monitors records retention in compliance with County procedures and State laws, providing for the efficient retrieval, delivery, and refile cycle of all closed files.
  • Prepares reports, correspondence, and legal documents drawing from a variety of sources within and outside the department including citations, letters, orders, motions, warrants, appeals, bonds, hearings, arraignments, and abstract of judgments. Adheres to all requirements and time frames as directed by law, policies, and procedures.
