Job DescriptionJob Summary
The Student Ambassador assists the Office of Institutional Advancement by providing frontline support and assistance to donors, alumni, prospective donors, and guests via phone, text, system management, and excellent constituent service.
Key Responsibilities Overall- Serve as a representative of Southwestern Seminary and Texas Baptist College within the Office of Institutional Advancement.
- Actively communicate with donors, alumni, prospective donors, and guests via phone, email, and text.
- Work to achieve institutional goals including fundraising, communication campaigns, and systems processes.
- Articulate the value propositions of SWBTS to donors, prospective donors, and guests – participating in gratitude processes such as thank‑you notes, call campaigns, and scholarship communications.
- Coordinate with the Digital Development Officer/Data Specialist and the Associate Vice President for Institutional Advancement to schedule weekly communication campaigns and campus visits designed to engage constituencies.
- Assist with on‑campus events, including Institutional Advancement Events and Campus Tours.
- Conduct daily business functions to ensure delivery of core value propositions to donors, alumni, prospective donors, and guests, including Call Campaigns, System Management, and Scholarship processes.
- Understand the giving, stewardship, and gratitude processes.
- Serve as the first line of contact for donors, prospective donors, alumni, and guests via inbound/outbound phone calls, emails, and texts.
- Make calls regarding expressions of gratitude and call campaigns to prospective donors, maintaining professionalism and proper phone etiquette.
- Provide excellent communication and customer service to all constituents.
- Serve prospective students with proper phone etiquette and a friendly, informative tone.
- Conduct daily business operations, including entering all interactions into the Slate database, checking the Institutional Advancement email inbox, and directing communication as needed.
- Answer constituent inquiries, execute call‑campaigns, process gifts and communications, and fulfill business processes.
- Communicate with Development Officers about meaningful interactions with prospective donors and constituents.
- Complete more than 10,000+ phone calls in a calendar year.
- Respond to inbound emails within 1 working business day.
- Answer Institutional Advancement phone within 1–2 rings.
- Deliver, manage, and respond to texts and emails proactively within 1 business day.
- Regularly meet with supervisor to discuss performance and set mutually beneficial goals.
- Perform additional tasks and responsibilities as assigned to support the team and institutional goals.
Skills and Qualifications
- Possession of a bachelor’s degree (completed or in progress).
- English required; bilingual speaking abilities desired.
- Excellent verbal, written, and interpersonal skills.
- Strong people skills and ability to clearly communicate the mission, policies, and procedures of the Seminary/College.
- Proficiency with Microsoft Office (Outlook, Excel, Word) and adaptability to new CRM systems.
- Strong attention to detail and ability to coordinate multiple activities simultaneously.
- Comfortable on the phone and with cold‑calling prospective donors.
- Detail‑oriented and able to accurately record data within the CRM (Slate).
- Excellent email and text communication skills.
- Preferred experience with sales, customer service, and CRM databases.
- Able to think critically, solve problems, and provide solutions to constituent inquiries.
