The Zoning and Design Review Division of the Development Services Department is seeking a Planning Assistant to join our team. The Division oversees functions such as assessment and recommendations for zoning, site plans, plats, annexations, street and alley vacations; tree removal; variances, special exceptions, and waivers; historic preservation; urban design; code amendments to the Zoning and Subdivision Ordinances;
Council-initiated zoning and special reports; zoning determinations including legal nonconformity; reasonable accommodations; and collaboration with other city departments on the production of small area and corridor plans.
The Division manages boards and commissions including the City Plan Commission, Zoning Commission, Board of Adjustments, Urban Design Commission, Historic and Cultural Landmarks Commission, and Downtown Design Review Board. It also leads the Development Review and Annexation Review Committees, comprised of city staff.
The Planning Assistant reports to a Planning Manager and serves as the key facilitator between customer service intake and planners. The role guides customers on completing appropriate applications for their development needs and where to locate public information, coordinates property owner notifications, and provides support for assigned boards and commissions.
Minimum Qualifications- High school diploma/GED
- Two (2) years in Planning, Urban Design, Architecture, or Landscape Architecture
- Valid Driver’s License
- Two (2) years of experience in an administrative or customer service role involving public interface; or planning internship
- Experience supporting boards and committees
- Bachelor’s degree
- Microsoft Office skills
- GIS and Accela Automation skills
- Bilingual English/Spanish
Job Responsibilities Include
- Provide exemplary customer service to internal staff and the general public
- Provide technical assistance on how to access zoning information and apply for zoning changes to property owners, developers, community groups and to other city staff
- Prepare and post meeting agendas in accordance with city and state requirements
- Help coordinate data from multiple sources to assist the assistant director, manager and planners
- Review applications for completeness and accuracy; enter application information into Accela Automation and process payments
- Provide ongoing staff support to the City’s Zoning Commission and periodically assist with other boards and commissions that the department supports on an as‑needed basis
- Prepare meeting minutes and decision letters
- Coordinate the intake of applications and track their status utilizing Accela
- Coordinate the sending of public hearing notices to the newspaper, property owners and registered community organizations in accordance with city and state requirements
- Perform technical tasks related to planning activities including the development and utilization of maps, plans, computer files and presentations and assist with research requests
