We are seeking a highly organized Service Coordinator to support our Operations and Service teams while acting as a key point of communication for customers, field teams, and internal stakeholders.

Job Details

The Service Coordinator plays a critical role in keeping service operations running efficiently by coordinating work orders, supporting invoicing and scheduling, communicating with clients, and assisting field leadership with administrative and operational functions.

This is an hourly, full-time, in-office position.

Responsibilities:
  • Service & Work Order Coordination
  • Create, schedule, and manage service work orders
  • Generate purchase orders and assist with invoice processing and reconciliation
  • Track work order progress and maintain accurate status updates in client systems and portals
  • Verify warranty eligibility and coordinate related documentation
  • Support billing processes, invoicing, and collections follow-up as needed
  • Assist with preliminary notices and manufacturer warranty administration
  • Ensure completed service documentation is accurate and client-ready
Client & Internal Communication
  • Communicate scheduling updates and service timelines with clients
  • Coordinate approvals and project-related communications
  • Respond to customer inquiries via phone and email in a timely and professional manner
  • Prepare and track service proposals and follow up on open opportunities
  • Schedule meetings and coordinate communication between internal and external teams
Administrative & Operational Support
  • Assist with onboarding and administrative support for new team members
  • Support payroll and timesheet tracking for field personnel
  • Help maintain inventory records for materials, vehicles, and equipment
  • Assist with expense and purchasing administration
  • Coordinate office logistics and supply management
Qualifications
  • High school diploma or GED required
  • 3+ years of administrative, service coordination, customer service, or operations support experience
  • Strong Microsoft Office and Excel skills
  • Excellent organizational skills with ability to manage multiple priorities
  • Strong written and verbal communication skills
  • Experience with in construction, roofing, service, facilities, or trades industries preferred
  • Bilingual English/Spanish preferred
  • Experience with ERP/CRM systems such as Sage, Paycom, Dataforma, or similar platforms is a plus
