Sigma Systems is seeking three (3) temporary Sr. Data Entry Operators to support a medical records scanning and digitization initiative within the Framingham Heart Study (FHS) Health Information Management (HIM) Department in Boston, MA. This role is responsible for converting paper-based medical records into secure electronic formats using the approved document management system.
The ideal candidate will have strong attention to detail, experience with document handling or data entry, and the ability to ensure accuracy, confidentiality, and compliance while supporting large-scale records digitization efforts in a regulated healthcare environment.
PRIMARY RESPONSIBILITIES- Prepare paper medical records for scanning and digitization
- Scan, index, and organize physical and electronic health records
- Perform data entry and document indexing with high accuracy
- Conduct quality assurance checks to ensure completeness and correctness of records
- Maintain confidentiality of sensitive patient health information
- Follow HIPAA, FHS, and Boston University compliance standards
- Support records management, filing, and archiving activities
- Collaborate with team members to meet productivity and accuracy goals
- High school diploma or equivalent required
- Prior experience in data entry, document scanning, records management, or administrative support preferred
- Strong attention to detail and accuracy in handling data
- Basic proficiency in Microsoft Office (Word, Excel, Outlook) and general computer systems
- Ability to work independently and in a team-oriented environment
- Strong organizational and time management skills
- Ability to lift and move files/boxes up to 25 lbs as needed
- Experience in healthcare, HIM, or medical records environment
- Familiarity with electronic document management systems
- Understanding of HIPAA compliance and data privacy standards
- Prior exposure to high-volume scanning or indexing projects
