Position: COA Chief Deputy -Administrative Office of the Courts (AOC)-Non-Tenured (NT)

The Kentucky Court of Appeals has an immediate opening for a COA CHIEF DEPUTY CLERK in Franklin County. Under the direction of the clerk of court, the chief deputy clerk of court assists in the management and operational activities of the clerk's office, including providing management and leadership of all the non‑judicial functions and activities of the court of appeals such as case management, quality control, information technology, public relations and communications, training and development and strategic planning.

Duties

and responsibilities
  • Oversees all functional components of the clerk's office, including intake, docketing, records maintenance, and chambers support.
  • Perform functions of the clerk in the clerk’s absence, as directed by the clerk.
  • Supervises employees in the clerk’s office, including coaching employees, documenting personnel issues, and discipline where necessary in consultation with the clerk.
  • Serves as a liaison between court of appeals and circuit court clerks.
  • Trains staff on policies, procedures, and internal processes.
  • Supervises, delegates, prioritizes and monitors workload and work product of staff and provides appropriate feedback, training, coaching and mentoring to staff.
  • Implement staff procedures and conduct and, or, assists with staff meetings.
  • Oversees receipt and review of incoming documents for conformity with Kentucky rules of appellate procedure.
  • Engages in regular quality assurance activities.
  • Assists the clerk in defining and creating long‑ and short‑term goals regarding efficient and effective functioning of the clerk's office, including implementing and monitoring strategic plans to accomplish goals.
  • Answer procedural questions for judges, staff and the public, and provides excellent customer service.
  • Assists in the effective and efficient utilization of courtroom, general office, and case management technology.
  • Other duties as assigned.
Minimum Requirements

EDUCATION: Bachelors degree in related field

EXPERIENCE, TRAINING, OR

SKILLS:

prior supervisory experience and, or, work within the KCOJ are preferred but not required

EXPERIENCE:

NONE

Substitute EXPERIENCE for

EDUCATION:

3 years business, legal or office administration may substitute for education

SPECIAL REQUIREMENTS (AGE, LICENSURE, REGULATION, ETC.): Knowledge of Kentucky rules of appellate procedure is preferred. Proficient in Microsoft office and excel. Ability to effectively and efficiently use requisite court computer programs. Ability to effectively and efficiently operate modern courtroom technological devices. Ability to multitask and prioritize under pressure. Ability to analyze office operations and make recommendations on improving efficiency and effectiveness.

Excellent oral and written communication skills.

Working Conditions

Typically works in an office or courtroom setting. Occasional in‑state travel may be required. Unexpected or extended hours may be required in emergency situations. Due to the nature of job duties and responsibilities, this position not authorized for virtual work.
