Job Summary

Support Academic Excellence and Departmental Operations in Earth & Environmental Sciences. The University of Kentucky is seeking a Department Academic Administration Associate to join the Department of Earth & Environmental Sciences in the College of Arts & Sciences. This position supports the day-to-day administration and operations of the department while serving as a key resource for students, faculty, staff, and departmental leadership.

Working closely with the Department Chair, Associate Chair, Directors of Graduate and Undergraduate Studies, and College partners, this role helps ensure efficient operations, effective communication, compliance with University processes, and a positive experience for members of the department community.

What You’ll Do
  • Support daily departmental operations and administrative workflows for department leadership, faculty, students, and staff
  • Coordinate submissions and requests through University systems, including purchasing, travel, hiring, payroll, facilities, IT, and student support processes
  • Assist with course scheduling, student overrides, graduate student administration, and maintenance of departmental records and files
  • Collaborate with College and University units to meet deadlines related to academic operations, budgeting, enrollment management, payroll, and faculty affairs
  • Maintain departmental communications, including websites, listservs, resource email accounts, meeting materials, and faculty meeting minutes
  • Coordinate department events such as colloquiums, visiting speaker presentations, student recruitment activities, faculty searches, conferences, and recognition events
  • Assist faculty with travel reporting, administrative requests, and other operational needs
  • Interpret and apply University policies, procedures, and administrative guidelines while promoting consistent and efficient practices

Minimum Requirements
  • Associate’s degree
  • 4 years of related experience
