Salary Range: $73,000.00 - $77,000.00 Annually

Job Overview

Serve as a senior administrative professional responsible for managing complex, high-level operational, organizational, and communication functions. This role provides direct executive support to the Superintendent while also serving as a liaison and operational support to the School Committee. The position requires the exercise of independent judgment, discretion, and initiative in handling confidential matters, coordinating across departments, supporting governance processes, and ensuring the efficient functioning of both divisional operations and School Committee work.

Qualifications
  • Associate's degree required;
    Bachelor's degree preferred.
  • Minimum of five (5) years of progressively responsible administrative or executive assistant experience, preferably in a public sector or educational setting.
  • Demonstrated experience supporting senior-level administrators (e.g., Superintendent, Assistant Superintendent, or equivalent executive leadership) strongly preferred.
  • Experience working in a fast‑paced environment with multiple priorities, deadlines, and stakeholders.
  • Must successfully pass Criminal Offender (CORI) background check and national fingerprinting screening (CHRI).
Knowledge, Skills, and Abilities
  • Ability to consistently handle sensitive and confidential information with discretion and sound judgment.
  • Strong organizational, project management, and time‑management skills.
  • Clear and professional written, verbal, and interpersonal communication skills.
  • Ability to prioritize independently and meet deadlines with minimal supervision.
  • High accuracy and attention to detail, even under pressure.
  • Working knowledge of Open Meeting Law, public records management, and governmental procedures preferred.
  • Proficiency with Microsoft Office Suite, Google Workspace, and familiarity with student information, financial, and database systems.
  • Experience working with families, community partners, and diverse populations preferred.
Essential Duties and Responsibilities Executive & Administrative Support
  • Provide confidential, high-level administrative support to the Superintendent; assist the Assistant Superintendent with administrative functions as needed.
  • Serve as the primary point of contact for the Superintendent’s Office — direct inquiries, respond to families and stakeholders, and handle matters with appropriate urgency and discretion.
  • Manage calendars, scheduling, correspondence, meeting logistics, records, and daily Central Office operations.
  • Keep the Superintendent informed of critical issues, emerging concerns, and priority matters requiring attention.
  • Prepare and coordinate correspondence, reports, presentations, and meeting materials with a high degree of accuracy.
  • Research, compile, and organize information to support district operations, decision‑making, and strategic initiatives.
  • Maintain administrative records, contact databases, and office systems.
  • Serve as a liaison among district administrators, staff, families, School Committee members, government agencies, and community organizations.
Recording Secretary for the School Committee
  • Serve as Recording Secretary to the School Committee; maintain official records of all School Committee proceedings.
  • Coordinate all logistics for School Committee and subcommittee meetings: agenda preparation, packet compilation, posting, room setup, and materials distribution.
  • Prepare, publish, and maintain agendas, minutes, calendars, and related records.
  • Ensure compliance with Open Meeting Law and other applicable regulations.
  • Maintain School Committee policies, policy manuals, and related public records.
  • Assist with School Committee elections, appointments, recognitions, and annual organizational activities.
Operations, Communication & Coordination
  • Coordinate and maintain district communications, public notices, reports, handbooks, policies, website content, and other informational materials.
