Job Overview
Secretary, Medical Admin Sr – provides advanced administrative and clerical support to physicians, advanced practice providers, and clinical staff. This senior administrative role includes coordinating office operations, training staff, managing complex scheduling and serving as liaison for clinical, academic, and administrative functions.

Hiring Range: $17.43 - $31.37 per hour – final offer may vary within this range.
Schedule:
Monday through Friday, 8:30 a.m. – 5:00 p.m. (40 hours per week).
Shift: Day Shift, 8 hours.
Location:
Franklin Family Practice, Cost Center .
Occasional weekends required.
Responsibilities- Patient Scheduling, Registration, and Coordination: schedule and coordinate inpatient and outpatient visits, procedures, and diagnostic testing; register patients; verify insurance coverage; assist with new patient intake; identify urgent needs and elevate to providers.
- Communication & Customer Service: answer and screen phone calls; respond to inquiries; greet visitors; provide procedure and policy information; act as liaison between patients, families, and caregivers; escort patients to examination rooms and chaperone examinations as required.
- Documentation, Transcription & Correspondence: transcribe medical reports; produce correspondence, reports, and memos; proofread and edit materials; prepare standard letters and forms; maintain patient charts and records per HIPAA regulations.
- Meeting, Program & Faculty Support: arrange and coordinate internal and external meetings; prepare agendas; record and distribute minutes; make travel arrangements; coordinate residency/fellowship/ clerkship programs.
- Billing & Financial Processing: collect patient copayments; process payments; maintain deposit records; perform on-site charge entry for billing.
- Office & Administrative Operations: process routine administrative paperwork; maintain confidential files; monitor office supplies; coordinate medical office activities including training, scheduling staff, recommending process improvements, and monitoring performance.
- Required:
High School diploma or equivalent; 2 years experience in a medical office or healthcare setting; proficiency in Microsoft Office Suite and electronic health record (EHR) systems; strong organizational, communication, and customer service skills; ability to maintain confidentiality; ability to manage multiple priorities in a fast‑paced environment. - Preferred:
Completion of a medical secretary, medical assistant, or related vocational training program; experience providing administrative support in an academic medical office; familiarity with medical terminology, insurance authorization processes, and clinical workflows. - Other:
Equivalent combination of education and experience may be substituted if it provides proficiency in the responsibilities listed.
