Description
The Senior Manager of Mail Operations will lead and oversee all aspects of mail operations, managing a large (+140), hourly workforce with support from supervisory staff and team leads.
This is a HANDS-ON and ON-THE-FLOOR role that ensures operational excellence, staff development, and process optimization across the site, serving as a key strategic leader in daily operations and long-term site performance. The Senior Manager will collaborate closely with the Site Manager and other leadership to drive efficiency, safety, quality, and compliance, while supporting the growth and development of the team.
/ Responsibilities
- Lead and manage mail operations staff, ensuring coverage, labor efficiency, and adherence to operational standards.
- Develop, coach, and mentor supervisors and associates to build a high-performing team capable of meeting current and future operational demands.
- Plan, implement, and optimize daily operations, including production schedules, sort configurations, and staffing levels.
- Collaborate with logistics, transportation, and USPS departments to ensure seamless operations.
- Monitor and report on operational metrics, KPIs, and compliance requirements.
- Conduct performance evaluations, provide feedback, and implement corrective actions or training programs as needed.
- Ensure adherence to safety, regulatory, and company standards, including OSHA, HIPAA, PHI, HITECH, and data security.
- Drive continuous improvement initiatives to enhance operational efficiency, quality, and employee engagement.
- Support positive workplace culture by fostering collaboration, recognizing achievements, and maintaining high employee morale.
- Secure facilities, manage daily close-out procedures, and address maintenance or sanitation issues promptly.
- Other duties assigned to ensure smooth operations and strategic objectives are met.
- Demonstrated leadership and operational management experience in a fast-paced, high-volume environment.
- Strong ability to coach, mentor, and develop teams.
- Excellent communication, organizational, and problem-solving skills.
- Ability to prioritize tasks, make decisions under pressure, and drive results.
- Proficient in Microsoft Office applications and operational reporting tools.
- Strong attention to detail while maintaining focus on safety and workforce well-being.
- Degree is preferred.
- 5+ years of experience in operations management, preferably in a high-volume or technical environment.
- Knowledge of regulatory compliance, OSHA, and safety requirements.
- Proven track record of leadership and operational success.
- Flexibility to work varying schedules, including overtime and weekends.
- Ability to lift 30-50 pounds, bend, reach, and perform physical tasks as needed.
- Prolonged periods standing or walking in a production environment.
- Exposure to loud noise, dust, and other warehouse conditions.
- On-site position requiring active engagement with operational teams.
