Scope of Position
The Maintenance & Toolroom Coordinator provides clerical and administrative support to the Maintenance and Toolroom Department. This role is responsible for maintaining accurate CMMS data, managing spare part and tooling inventory, ordering replacement parts, and coordinating outside services. The ideal candidate is highly organized, detail-oriented, and comfortable working with systems and data in a fast-paced environment.
This position reports to the Facilities and Maintenance Manager, is onsite and is based in Franklin, NH.
Primary Job Duties and Responsibilities
- Provide administrative and clerical support to the Maintenance and Toolroom Departments.
- Coordinate external service providers and contractors.
- Procure replacement parts, spare parts, and maintenance-related supplies.
- Manage maintenance, spare parts, and toolroom inventories.
- Support CMMS implementation, administration, and data accuracy.
- Utilize Microsoft Excel to track, analyze, and report inventory and maintenance-related data.
- Create and maintain purchase orders, inventory records, and associated documentation.
- Facilitate communication and information flow between Maintenance, Production, Purchasing, and other departments.
- Maintain organized digital and physical maintenance records.
- Assist with reporting, audits, and continuous improvement initiatives.
- Perform general administrative duties, including filing, scanning, and data entry.
- Ensure compliance with all company policies, procedures, and safety requirements.
Required Qualifications
- 1+ years of administrative, clerical, or support experience in a manufacturing or distribution environment
- Proficiency in Microsoft Excel (including data entry, basic formulas, and spreadsheet management)
- Strong attention to detail and accuracy
- Excellent organizational and time management skills
- Ability to handle multiple tasks and prioritize effectively
- Strong written and verbal communication skills
- Ability to read, write, and understand English.
- Familiarity with maintenance operations, repair processes, and inventory management is highly desirable. Understanding of and adherence to applicable laws, codes, policies, regulations, and safety practices and procedures, as applicable.
- Must successfully establish employment eligibility and satisfactorily complete background checks and required pre-employment testing as a condition of employment.

Working Conditions
While performing the job duties, you will be working on-site at a manufacturing facility and will perform the majority of your duties in an office environment. You may, at times, be required to be present on the manufacturing floor and will be required to wear the appropriate personal protective equipment. You will be required to work in the office at the Franklin, NH location (Monday – Friday).
Your scheduled work hours will be communicated to you by your manager.
