Scope of PositionThe Maintenance & Toolroom Coordinator offers clerical and administrative support to the Maintenance and Toolroom Department. Responsibilities include maintaining accurate CMMS data, managing inventory for spare parts and tooling, ordering replacement parts, and coordinating external service providers.
PrimaryJob Duties and Responsibilities
- Provide administrative and clerical support to the Maintenance and Toolroom Departments.
- Coordinate external service providers and contractors.
- Procure replacement parts, spare parts, and maintenance-related supplies.
- Manage maintenance, spare parts, and toolroom inventories.
- Support CMMS implementation, administration, and data accuracy.
- Utilize Microsoft Excel to track, analyze, and report inventory and maintenance-related data.
- Create and maintain purchase orders, inventory records, and associated documentation.
- Facilitate communication and information flow between Maintenance, Production, Purchasing, and other departments.
- Maintain organized digital and physical maintenance records.
- Assist with reporting, audits, and continuous improvement initiatives.
- Perform general administrative duties, including filing, scanning, and data entry.
- Ensure compliance with company policies, procedures, and safety requirements.
- Must successfully establish employment eligibility.
- Must satisfactorily complete background checks and required pre-employment testing as a condition of employment.
- 1+ year of administrative, clerical, or support experience in a manufacturing or distribution environment.
- Proficiency in Microsoft Excel (data entry, basic formulas, spreadsheet management).
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Ability to handle multiple tasks and prioritize effectively.
- Strong written and verbal communication skills.
- Ability to read, write, and understand English.
- Familiarity with maintenance operations, repair processes, and inventory management is highly desirable.
- Understanding of applicable laws, codes, policies, regulations, and safety practices and procedures.
